SUMMARY OF POSITION:
The Legal Administrator at a construction law firm is responsible for ensuring the smooth and efficient operation of the firm’s administrative and legal support functions. This role requires a proactive, detail-oriented professional with experience in legal administration and an understanding of the construction industry’s legal landscape. The Legal Administrator will coordinate office operations, manage staff, oversee compliance, and provide essential support to attorneys handling construction-related legal matters such as contract disputes, regulatory compliance, and litigation.
PRIMARY DUTIES AND RESPONSIBILITIES:
Help Supervise Legal Team.
Support Owner/Managing Partner
Create and implement legal processes
Assist with Calendar Management
Collaborate with Human Resources with the hiring of paralegals, law clerks and flat fee departments.
Review Billing
Assist in Legal Training
Create training Materials database
Spearhead legal department performance reviews
Create ways to add value to the team
Collaboration with Human Resources to manage legal department PTO time
Review billable hours daily to ensure hours are being met
Provide Legal team support
Organize legal department flow chart
Collaborating with Human Resources for onboarding and offboarding of legal staff members
Monitor case deadlines, court dates, and filing schedules using case management software.
Manage day-to-day administrative operations, ensuring efficient workflows and legal support across the firm.
Liaise with clients, contractors, expert witnesses, and external vendors professionally and efficiently.
Implement and manage office policies, procedures, and legal best practices relevant to construction law.
Maintain legal team schedules
POSITION REQUIREMENTS / QUALIFICATIONS:
Bachelor’s degree in legal administration, Business, or related field (required) master’s degree or J.D (preferred)
Paralegal certification or legal assistant training (preferred).
3–5+ years of experience in a law firm, ideally with exposure to construction law, commercial litigation, or real estate law.
Familiarity with contracts, lien laws, litigation, bid documentation, and project delivery systems is a strong plus.
Strong organizational and project management skills.
Proficiency in legal software (e.g., Clio, Westlaw) and Microsoft Office Suite.
Excellent written and verbal communication skills.
Ability to handle confidential and sensitive information with discretion
Schedule:
Working hours Monday through Friday 8:00 am – 5:00 pm.
Must download Elevate App on computer and/ or cell phone
Optional Two days' work from home after training period
