Essential Job Functions The Payroll Administrator I is responsible for performing all duties necessary to accomplish the Company's weekly payroll processing, including auditing and reporting functions. This role also supports Payroll Administrator II with system updates, labor distributions, and other tasks, and shares responsibility for reporting to external agencies on a weekly, monthly, and annual basis.
Payroll Processing : Manage the full weekly payroll cycle end-to-end, including data entry, processing, and distribution of payroll while meeting all deadlines.
Data Management : Monitor and manage a timely and efficient flow of timecard data through all payroll systems, ensuring accuracy and confidentiality.
Compliance : Working with Payroll Administrator II, ensure compliance with federal, state, and local regulations, including withholdings, contributions to employee pension and retirement plans, and submission of payroll-related tax payments and reporting to third parties.
Communication : Assist Payroll Administrator II with communication and direction regarding time and labor issues to employees, union timekeepers, and management.
Record-Keeping : Maintain accurate payroll records within the appropriate systems and update as needed due to payroll change notices, sick and vacation day accruals, child support garnishments, new hire information, terminations, retro-pay, shift and license pay, wage verifications, and payroll withholdings (including federal, state, and local taxes, savings plans, pension, voluntary deductions, garnishments, etc.).
Reporting : Assist Payroll Administrator II with the preparation and submission of monthly state pension reporting and processing of informational requests.
Monitoring : Create and run various queries and reports (planned and ad hoc) in the payroll systems to analyze, verify, and ensure accuracy of payroll, accounting entries, payments, and others, as well as monitor employee withholding and company contribution match limits.
Troubleshooting : Analyze and interpret error message reports, correct errors, and collaborate with Payroll Administrator II and IT to resolve timely.
Year-End : Coordinate with Payroll Administrator II to plan and maintain year-end processes and payroll calendars, as well as submission and distribution of W-2s.
Payroll Event Coordination : Collaborate on action plans to execute unique payroll events that will ensure accuracy and timely preparedness for payroll-related instances, such as:
Final check calculations, severance checks, payouts, and in-house checks as needed, as well as voiding, adjusting, and reissuing employee paychecks.
Various record updates as required.
Annual bonuses, pay increases, benefit changes, sick day pay-out, vacation buy/sell, and other deductions.
Training : Engage in continuous learning and development to stay current on regulations, requirements, practices, and trends that impact payroll.
Engagement : Participate in departmental and cross-functional teams to achieve individual and team goals, as well as other Company initiatives.
Perform other duties as directed.
Supervisory Responsibility None
Working Conditions Generally, works a 40-hour week in an office environment. Additional hours can be anticipated to meet the deliverables associated with the month end financial closing, the annual financial statement audit, the annual report preparation, and during system updates. Occasional travel between various local company locations may be required.
Minimum Qualifications
Associates degree, preferably in Accounting, Finance, Business, or related field
Five (5) years of experience in payroll, accounting, or other related areas of which a minimum of two (2) must be in payroll (not just timekeeping)
Preferred Qualifications
Certified Payroll Professional (CPP)
Accounts payable experience
HCM, PeopleSoft, and/or Oracle experience
Exposure to union payroll processing
Experience with pension reporting
