Office Support (CalWorks Childcare Voucher Program)
Responsible for providing front desk reception and phone support, and department administrative support. Also work directly with the staff and prospective/current clients for the Alternative Payment/CalWORKS program. Responsibilities Provide front office reception, inquiries, mail, and phone support. Assist intake coordinator with the subsidy and non-subsidized applications and the Eligibility List maintenance on a daily basis (screening applications, ranking, and enrollment materials). Assist with case file maintenance (preparing case files, filing documents, collapsing files, etc.) Data entry in subsidy and non-subsidy child care software system (CC3). Assist with data entry/reports (annual school districts, bell schedules etc.) and special projects for the Children’s Services Department. Assist with inventory/orders of the department office supplies, archives and term files. Attendance at workshops, trainings and staff meetings as assigned. Provide overall program support to Children’s Services Department and other tasks as needed. Other duties as assigned. Requirements Strong phone, office equipment and computer skills using MS Word, Excel, Power Point, & Outlook. Knowledge of Child Development Programs helpful. Ability to work with a diverse staff and clients, as well as be sensitive to the needs of clients from stressed environments. Must be detail oriented, organized and possess excellent time management skills. Ability to prioritize workload and work under strict deadlines. Excellent communication and interpersonal skills with the ability to maintain positive client and working relationships. Ability to maintain confidentiality of department, children, families and staff information and materials.
