Talascend is currently seeking an Executive Assistant for a long-term contract opportunity with our client in Englewood Cliffs, New Jersey.
Overview
The main function of an executive administrative assistant is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. A typical executive administrative assistant acts as an information and communication manager for an executive and their teams.
Responsibilities
- Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Review and approve invoices, reports, memos, letters, financial statements, and other documents.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Make arrangements for travel, planning meetings, etc.
- Submit travel and other expense sheets for supported leaders, along with other administrative submissions like IT requests.
- Respond to requests for organizational chart updates, seating charts, etc.
- Manage an active calendar of appointments, ensure executives stay on track, prioritize meetings, and handle scheduling conflicts proactively.
- Assist with staff onboarding and offboarding, including equipment setup and system access.
- Troubleshoot hardware, software, and phone issues at a basic level.
- Liaise with customers and internal executives.
- Develop and maintain cross-divisional relationships with other administrative assistants.
- Handle ad hoc administrative duties as they arise.
Requirements
- MUST be bilingual in Korean and English, reading, writing, and speaking.
- Proficiency in Microsoft Office (PowerPoint, Excel, Word).
- Strong verbal and written communication skills, multitasking, customer service, and interpersonal skills.
- Ability to work independently and manage time effectively.
- Ability to keep information organized and confidential.
- Experience in event planning and budgeting.
- Ability to build relationships across teams, offer help, and foster an inclusive work environment.
- Experience with computer applications such as Microsoft Word, Excel, and PowerPoint.
- Skills in schedule coordination, office setup, and maintaining office equipment.
- Ability to develop and maintain excellent working relationships at all levels within and outside the company.
Shift
In-office Monday-Thursday, optional work from home on Friday.
