SUMMARY: Performs duties to provide clerical assistance to the Coordinator of Health Services and support the operations of the health services staff. This is a part time (.5 FTE) position.
ESSENTIAL JOB FUNCTIONS:
- Greet visitors and staff, answer incoming telephone calls, provide appropriate information or take message and refer to appropriate staff. Prioritize incoming calls.
- Schedule appointments and provide phone triage for those without appointments.
- Understand and comply with all HIPAA and FERPA regulations for staff and students.
- Monitor and maintain an inventory of district in-stock health supplies. Assist in the processing of new and replenishment orders and the distribution of those supplies to each building.
- Ensure state reports are received from all schools and are ready for processing based on established timelines.
- Track data points on multiple projects simultaneously to be able to report out on the data and identify any significant changes in the data.
- Ensure medical documentation follows established guidelines. Can appropriately document in medical charts and has familiarity with electronic medical records.
- Assist with multiple projects with varying timelines and objectives.
- Assist in scheduling and coordination of student screening programs.
- Provide general secretarial assistance to the health services staff: word processing, spreadsheets, report generation, maintain schedules, copying, filing, distribute mail, faxing, and data entry.
- Use personal computer and general office equipment. Demonstrate proficiency using the technology and computer-based programs provided by the District. Use these programs to effectively manage and organize files, communication, records, and databases.
