Key Responsibilities:

  • Provide proactive administrative support to the CEO and executive team, including calendar management, email management, meeting preparation, and client communications.
  • Draft, format, and edit client-facing documents and internal reports with absolute attention to detail.
  • Manage confidential financial documents, organize client data, and maintain CRM records (Redtail CRM experience is a plus).
  • Coordinate travel arrangements, handle logistics, and prepare detailed itineraries.
  • Creation and refinement of financial spreadsheets, presentations, and tracking tools.
  • Serve as a liaison between the CEO and clients, custodians, and internal teams with professionalism and discretion.

Required Skills & Qualifications:

  • Advanced proficiency in Microsoft Excel is essential — including pivot tables, VLOOKUP/XLOOKUP, IF statements, dynamic formulas, and formatting for executive reporting.
  • 3+ years of executive support experience, preferably in financial services, legal, or a high-touch professional environment.
  • Exceptional written and verbal communication skills.
  • Meticulous attention to detail and organizational skills.
  • Ability to handle confidential information with discretion and integrity.
  • Tech-savvy with proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams), Adobe Acrobat, Zoom, and document management tools (Box.com a plus).
  • Self-starter with the ability to anticipate needs, manage deadlines, and operate with a sense of urgency.
  • Experience working in financial services, wealth management, or investment advisory firms.
  • Familiarity with tools such as Redtail CRM, Morningstar Advisor, Black Diamond, SmartRIA, and/or FMG Suite.
  • Licensing in the financial services industry is a plus, including Series 66, Series 7, Series 6, Life & Health, or similar certifications.
