Overview
As a Payroll & Equity Administrator – Senior Associate / Manager, you will manage payroll operations and equity compensation administration for a publicly traded company subject to SOX audits. This role requires proven experience supporting a workforce of 100+ employees, deep technical knowledge of payroll and equity systems, and the ability to operate in a highly regulated environment. You will work cross-functionally with HR, Finance, and Legal teams to ensure compliance, accuracy, and efficiency. Payroll Administration
Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions. Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates. Administer end-to-end payroll for 100+ employees across multiple states. Ensure compliance with federal, state, and California payroll laws, tax filings, and reporting requirements. Maintain and reconcile payroll records; ensure timely submission for SOX audit controls. Partner with Accounting and Finance to ensure accurate compensation and benefits reporting. Act as a primary contact for employee payroll inquiries. Equity Compensation Administration
Lead and manage the administration process from start to finish while connecting with other stakeholders and team members to guarantee proper execution. Administer and reconcile employee equity plans, including RSUs, stock options, and ESPPs, from grant to vesting and exercise. Maintain accurate records in equity systems (e.g., Certent, CPU, BAML) integrated with payroll and HRIS. Ensure compliance with SEC, IRS, and SOX requirements in equity reporting. Support internal and external audit requests related to stock-based compensation. Respond to employee questions regarding vesting schedules, tax treatment, and plan rules. Qualifications & Requirements
Proficient with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) or related software. Proficient with ADP Workforce Now (ADP WFN) payroll system. Knowledgeable with CPU, BAML (Bank of America Merrill Lynch), and Certent equity administration tools. Experience with HRIS integrations and equity platforms (e.g., Certent, Carta, Shareworks). Proficient Excel skills (pivot tables, reconciliations, data validation). Excellent verbal and written communication skills Strong analytical and problem-solving skills Excellent time management skills with a proven ability to meet deadlines Proven ability to maintain confidentiality and data integrity. Ability to work overtime when required Education and Experience
Bachelor’s degree in Accounting, Finance, Business Administration, HR, or related field preferred. CPP (Certified Payroll Professional) or CEP (Certified Equity Professional) certification preferred. 3–5+ years of payroll and/or equity administration experience in a publicly traded company. Direct experience supporting SOX audits and internal control requirements. Experience managing payroll for 100+ employees (multi-state preferred). Physical Requirements
