Position

Administrative Assistant

Full-Time/Part-Time: Full-Time

Location: Riverhead, NY

Salary: $21.00 - $24.00/hr

Days/Hours: Monday - Friday; 8am - 4pm

Description

Concern Housing is seeking an Administrative Assistant to be the primary person responsible for general office/administrative assistance as well as certain accounting functions primarily with cash receipts and the data entry/distribution of client checks.

Duties and Responsibilities

  • Answers agency phones and greets visitors.
  • Opens, screens, date stamps, and distributes incoming mail. Stamp/mail outgoing mail daily.
  • Maintains office supply inventory and prepares purchase orders in the 2nd and 3rd week of each month for review before placing the order, as necessary.
  • Types documents, letters, etc. and makes copies as needed by SRO staff.
  • Assists the Director/Supervisor with secure filing and storage of tenant charts and LIHTC documents; maintain inventory for tax credit audits and OMH supported housing review.
  • Assists the Program Director with administrative needs as necessary.
  • Collaborates with Property Maintenance to maintain up-to-date work order system in YARDI.
  • Maintains the Office Equipment Room ensuring proper operation of all agency machines (copier, fax, shredder). Ensures that all office and other supplies in open, common areas are stocked at all times.
  • Keeps the office neat and orderly (reception area, waiting room, office equipment room, conference room, kitchenette, and other common areas).
  • Oversees rent payment system, including copying and logging all cash receipts and processing tenant check payments.
  • Transfers and copies all check information to an Excel spreadsheet.
  • Works with the Director and Supervisor to track health care outcomes and develop/update care coordination database for ongoing community collaboration.
  • Remains current with all agency-required compliance documents and trainings.

Qualifications

Minimum High School Diploma with a minimum of four years administrative experience. Word and Excel required.
