Responsibilities
Provide executive support for the CFO and COO, acting as a trusted partner and primary point of contact.
Calendar Management: Maintain calendars for internal team meetings, project meetings, and corporate development meetings; address urgent scheduling requests with creativity and flexibility.
Calendar Management: Coordinate with the Executive Assistant team to synchronize priority meetings, product debriefs and reviews, team, and cross-functional project meetings; manage cadence and re-balance as needed.
Team Coordination: Provide ancillary support to the Executive Assistant team and other corporate functions as necessary.
Team Coordination: Create and maintain department distribution lists; draft and send communications upon request.
Travel Management: Plan, schedule, and book domestic and international travel in partnership with the company’s preferred travel services; manage visas, ground transportation, accommodations, meals, meeting logistics, and arrival support; handle changes as needed (flights, cancellations, etc.).
Expense Reporting: Ensure timely filing of expense reports.
Office Operations: Oversee day-to-day office operations for the Boston Seaport office, including supplies, facilities, and vendor coordination.
Reception and Communications: Serve as point of contact for visitors and incoming calls to maintain a professional and welcoming environment.
IT Collaboration: Partner with IT and internal teams or external providers to address equipment needs.
Events Support: Assist with planning and execution of company events, team meetings, and executive off-sites.
Required Experience, Education, Skills And Competencies
Minimum 5 years of experience supporting C-level executives, ideally in finance or public companies.
Strong understanding of corporate governance.
Experience managing calendars, coordinating travel, event planning and presentation preparation.
Proven ability to manage office operations and vendor relationships.
Exceptional organizational and multitasking skills.
High level of discretion and professionalism.
Experience interfacing with executive leaders with professional demeanor to convey credibility and de-escalate issues.
Excellent written and verbal communication skills with discretion with sensitive information.
Strong critical thinking, organization, time management, and attention to detail.
Creativity, problem-solving mindset, and mental agility.
Self-starter capable of working in a fast-paced, unstructured atmosphere.
Bachelor’s degree in Business, Finance, or related field preferred.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); familiarity with financial platforms a plus.
