Job Title: Front Desk and HR Administrative Assistant



Job Description

We are seeking a dedicated Administrative Assistant to provide front desk and general administrative support. This role involves managing reception, handling communications, coordinating schedules, and maintaining office presentation. You will also assist with human resources administration support, supply chain, and inventory management.

Responsibilities

Serve as the primary point of contact for the office, greeting and welcoming visitors including clients, vendors, and candidates.

Support meetings by scheduling, greeting visitors, ordering food, and maintaining the kitchen.

Answer and direct incoming phone calls, and filter general and HR emails.

Manage conference room scheduling and setup, and assist with scheduling internal and external meetings and appointments.

Maintain the tidiness and professional appearance of the reception area, lobby, and common areas.

Organize, file, scan, and maintain physical and electronic documents and records securely.

Assist in planning and coordinating office events, meetings, and employee celebrations.

Coordinate maintenance and repair for office equipment such as copiers and printers.

Monitor and maintain inventory of all office supplies, kitchen supplies, janitorial items, and breakroom stock for both office locations.

Receive, unpack, and distribute supplies to appropriate departments or storage locations.

Prepare new hire packets, badges, coordinate first-day logistics, and assist with offboarding administrative tasks.

Maintain and update employee files with extreme confidentiality and adherence to privacy regulations.

Communicate with candidates, post job openings on relevant platforms, and update teams through SharePoint.

Assist in the preparation of standard HR documents, letters, memos, guides, and employee communications.

Assist employees with basic inquiries related to benefits, time-off policies, and procedures; escalate complex issues to the HR Manager.

Accurately enter and update employee data into necessary HR platforms.

Ensure compliance posters and essential employee notices are current and prominently displayed.

Support HR in various reporting and ad hoc projects as requested.

Essential Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Professional verbal and written communication skills.

Customer service-oriented with a consistently pleasant, professional, and helpful demeanor.

Ability to handle sensitive and confidential information with discretion.

Superior organizational and time management skills with a strong attention to detail.

Ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.

Self-starter who anticipates needs and takes initiative to solve problems.

Additional Skills & Qualifications

High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Human Resources, or related field preferred.

2-4 years of experience in an administrative, HR support, or front-office role.

Work Environment

This is a fully onsite position with working hours from 8 AM to 5 PM, with some flexibility if needed. The role offers a dynamic environment with opportunities to work in the space industry. Job Type & Location

This is a Contract position based out of Denver, Colorado.

Pay and Benefits

The pay range for this position is $24.00 - $31.25/hr.
