About the Role
We are seeking a detail-oriented
HR Coordinator / Payroll Administrator
to manage the company’s end-to-end payroll process with accuracy, timeliness, and compliance. The ideal candidate will ensure that all employees are paid correctly and on schedule, while maintaining full compliance with federal, state, and local wage and hour laws.
This role requires a high level of discretion, accuracy, and a strong understanding of payroll systems and regulations.
Key Responsibilities
Process bi-weekly or semi-monthly payroll for all employees, including hourly, salaried, and commissioned staff.
Review and verify timecards, deductions, bonuses, and commissions before payroll submission.
Ensure compliance with applicable wage laws (including overtime, meal breaks, and rest periods).
Maintain payroll records and employee data (tax forms, direct deposits, garnishments, etc.).
Reconcile payroll accounts and assist with month-end close reporting.
Generate and distribute pay stubs, W-2s, and other payroll-related documentation.
Respond to employee inquiries regarding pay, deductions, and timekeeping.
Coordinate with HR and Finance to ensure accuracy in benefit deductions, new hires, and terminations.
Stay current on federal, state, and local payroll regulations and tax requirements.
Support audits, filings, and reporting requests as needed.
Qualifications
3+ years of experience processing payroll (multi-state experience strongly preferred).
Proficiency in HRIS or payroll platforms such as Rippling, Paycom, ADP, or TriNet.
Strong knowledge of wage and hour laws, tax compliance, and payroll best practices.
High attention to detail and ability to maintain confidentiality.
Excellent communication and problem-solving skills.
Proficiency with Microsoft Excel or Google Sheets.
Experience in manufacturing, retail, or professional services environments a plus.
