Executive Assistant to CEO, Global Firm that Offers Corporate Compliance Services, New York City

Our client, a global company that offers corporate compliance services for law firms, non-profits, lenders and other companies is looking for an Executive Assistant “right hand” to the CEO. Reporting directly to the CEO, the Executive Assistant will provide executive support in a one-on-one working relationship and also serve as a liaison to the board of directors and senior management teams. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. At least 5 years of experience supporting a busy c-suite executive is required. The firm has a very relaxed culture that is team oriented and “fun “having numerous staff events per year to build their culture. The dress code is business professional but casual in the summer months and Fridays.
About the Job: Coordinate and maintain the CEO’s schedule, making appointments and handling changing priorities Proactively manage time conflicts and prioritize meetings. Schedule internal and external meetings with senior stakeholders. Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft, review, and manage emails, memos, reports, and other communications. Plan and coordinate complex domestic and international travel, including detailed itineraries. Be the liaison to the board of directors; plan meeting and all collateral materials for the meetings Process travel expenses and reimbursements. Prepare briefing materials, agendas, and presentations for meetings. Take meeting notes and ensure follow-up on action items. Attend select meetings on behalf of the CEO when needed. Track and help drive completion of key deliverables and follow-ups. Assist in planning and execution of strategic initiatives and events. Coordinate with other departments on CEO-led projects. Handle sensitive matters with a high degree of professionalism and confidentiality. Ad hoc projects; some personal work About You: Minimum 5 years’ experience as an Executive Assistant to a very busy c-suite executive, preferably in the legal or professional service space at a global firm Bachelor’s Degree Demonstrated ability to manage competing priorities with discretion, efficiency, and impeccable attention to detail Experience working with a board of directors, coordinating meetings, and preparing collateral materials Microsoft Office Suite, Outlook, Word, PowerPoint and Excel Exceptional written and verbal communication skills Highly resourceful, proactive, and adept at anticipating needs without frequent reminders Warm, poised, and professional with a team-oriented mentality Base salary plus discretionary bonus, comprehensive benefits package, 401K Match.
