Job Summary
We’re seeking a detail-oriented and mission-driven Grants Manager to oversee the financial and compliance aspects of our robust grant portfolio—more than 40 active grants that fuel over 90% of our operations. In this pivotal role, you’ll lead the full grants lifecycle, from award setup to closeout, ensuring fiscal integrity and seamless coordination between Finance and Program teams. You’ll collaborate with Accounting Managers, Program Directors, and the Controller to deliver accurate, timely, and compliant reporting that supports our mission to improve maternal and child health outcomes across the region.
Essential Functions
Manage the full grant lifecycle, including award setup, budget entry, reporting, and closeout.
Maintain the organization’s 12-month grant reporting calendar; ensure all financial and programmatic deadlines are met.
Review and monitor all grant budgets and modifications for accuracy and compliance with funder and organizational requirements.
Serve as the primary contact for grant-related financial inquiries between Finance and Program teams.
Coordinate with the Accounting Manager – Accounts Receivable on monthly grant billings, drawdowns, and receivable reconciliations.
Partner with the Accounting Manager – Payroll to verify accurate labor allocations and time-and-effort documentation.
Ensure expenditures are allowable and properly coded per 2 CFR 200 and PMCH cost allocation policies.
Prepare or review all financial reports for submission to funders; ensure timeliness and data integrity.
Lead and facilitate monthly and quarterly variance meetings with Program Directors and grant leads.
Identify variances, trends, and spending concerns.
Summarize key actions and communicate follow-up items to leadership.
Invite Accounting Managers to participate in variance meetings when technical or complex financial clarification is required.
Develop and maintain grant dashboards and performance summaries for the Controller and CFO.
Assist with the preparation of annual budgets, forecasts, and multi-year financial projections related to grant funding.
Collaborate with Finance leadership to improve grants tracking, reporting, and system integration.
Maintain organized, audit-ready documentation for all grants and funding sources.
Job Requirements
Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
Minimum of five (5) years of progressively responsible experience in grants management or fund accounting.
Experience managing multiple government, state, and foundation grants simultaneously.
Familiarity with nonprofit reporting standards and financial compliance frameworks.
Prior experience coordinating variance or budget review meetings between Finance and Programs strongly preferred.
CPA or CGFM certification a plus, but not required.
Strong understanding of fund and grants accounting principles in nonprofit settings.
Demonstrated ability to interpret and apply 2 CFR 200 Uniform Guidance and funder regulations.
Proficiency in MIP Fund Accounting or equivalent systems (Sage Intacct, Blackbaud, Dynamics 365).
Advanced Excel and data analysis skills, including report development and variance analysis.
Excellent written and verbal communication skills with the ability to present complex information clearly.
Proven ability to manage multiple deadlines and priorities with minimal supervision.
Collaborative and proactive approach to working with Finance and Program staff.
Strong organizational and problem-solving skills; commitment to accuracy and compliance.
