Position Summary
The Executive Assistant (EA) will provide high-level administrative and operational support to the Chief Banking Officer for Florida East. This role requires a proactive, detail-oriented professional with strong technical skills, excellent organizational abilities, and a collaborative mindset. The EA will manage internal and external engagements, coordinate meetings and events, and support strategic initiatives across the region.
Key Responsibilities
Administrative & Executive Support
- Prepare materials for leadership meetings, business reviews, and internal presentations.
- Aggregate and compile data from Power BI, Salesforce, and nCino for reporting purposes.
- Update and maintain existing slide decks and board documents.
- Handle scheduling and calendar coordination for the Chief Banking Officer, including travel.
- Assist with document preparation, email communications, and general executive tasks.
Data & Systems Management
- Navigate and extract data from internal systems including Power BI (primary), Salesforce, and nCino.
- Perform regular data pulls (e.g., loans, deposits, fees) and format for executive review.
- Create and maintain email distribution lists for commercial, credit, and other departments.
Event & Engagement Coordination
- Organize and support client engagement activities such as small-scale events and breakfasts.
- Coordinate logistics for CRA and prospect events, including ticket handling and approvals via Cadence.
- Collaborate with internal bankers to ensure smooth execution of regional events.
- Track and support community involvement, board participation, and fundraising efforts.
Cross-Functional Collaboration
- Serve as a liaison between the Chief Banking Officer and internal teams.
- Respond to requests such as org chart preparation and distribution list updates.
- Assist with office-related tasks and provide support to team members as needed.
Technical Proficiency
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to quickly learn and navigate internal systems (Power BI, Salesforce, nCino).
Organizational Skills
- Strong attention to detail and ability to manage multiple priorities.
- Experience compiling and presenting data for executive-level meetings.
Communication & Coordination
- Excellent written and verbal communication skills.
- Ability to coordinate across departments and manage external engagements.
Industry Experience
- Prior experience as an EA in banking or financial services preferred.
- Internal candidates with relevant experience are encouraged to apply.
