Job Summary
We are seeking an experienced Executive Assistant who will support administrative functions and assist the HR department. The ideal candidate is a proactive multitasker with excellent organizational skills, attention to detail, and the ability to handle various tasks efficiently and discreetly.
Core Job Responsibilities & Duties
Executive Support: Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
Handle sensitive information with confidentiality and professionalism.
Prepare reports, presentations, and correspondence for internal and external communications.
Assist in managing and prioritizing incoming requests and emails.
Administrative Duties: Oversee office operations, including maintaining supplies, managing vendors, and handling facilities-related tasks.
Streamline administrative processes and implement improvements to increase efficiency.
Collaborate with different departments to facilitate cross-functional communication and projects.
Human Resources Support: Assist in recruitment efforts by scheduling interviews, conducting initial screenings, and maintaining candidate databases.
Coordinate onboarding activities for new hires, including paperwork, orientations, and training schedules.
Support HR initiatives such as employee engagement programs, performance evaluations, and benefits administration.
Maintain accurate and updated employee records and assist in HR-related compliance tasks.
Project Coordination: Support special projects or initiatives as assigned, providing administrative and logistical assistance.
Collaborate with team members to ensure project deadlines and objectives are met.
Qualification Standards & Company Requirements
High school diploma or equivalent (required); bachelor’s degree in Hospitality Management or a related field (preferred).
Proven experience (3 years) as an executive assistant, administrative assistant, or in a similar role.
Strong organizational and time-management skills with the ability to prioritize tasks.
Excellent communication skills, both written and verbal.
Proficient in MS Office Suite and other relevant software.
Understanding of HR functions and basic employment laws is a plus.
Ability to handle sensitive information with discretion and maintain confidentiality.
Detail-oriented with strong organizational and multitasking abilities.
Ability to work under pressure and adapt to changing situations.
Proficient in hotel management systems, property management systems, and relevant software.
Must have a flexible work schedule.
