Overview ON-SITE MENTOR, OHIO — We are in immediate need of a motivated, detail-oriented individual to be the “right hand” to the President. Join our team as our EXECUTIVE ASSISTANT in our Mentor headquarters. The Executive Assistant provides dedicated support to the President and requires high level experience, strong judgment, attention to detail, and the ability to manage shifting priorities in a growing environment.
Responsibilities Manage President’s Schedule: Act as the primary gatekeeper, prioritize conflicting demands, and ensure deadlines and follow-ups are met.
Travel Coordination: Plan and book complex domestic and international travel, often involving multiple cities, hotels, and flights. Itineraries may change frequently.
Email Management: Organize and track large volumes of emails daily. Set reminders for important tasks and deadlines.
Administrative Support: Handle tasks such as copying, scanning, filing, proofreading, preparing documents, drafting meeting notes, submitting expenses, and assisting with billing.
Meeting & Event Planning: Schedule meetings, reserve rooms, coordinate agendas and materials, order meals, arrange visitor access, and set up remote participation.
Project Management Support: Assist with coordination and oversight of woodworking and millwork projects, from planning through completion and communicate with clients, suppliers, and internal teams to support day-to-day project needs.
Calendar & Contact Management: Keep executive calendars and contact lists up to date.
Reporting: Prepare and review reports as needed.
Office Maintenance: Maintain the executive suite, including the conference room and kitchen area.
Additional Support: Take on any tasks needed to support the President's success.
Qualifications And Education Requirements Mastery level of Microsoft products including Word, Excel, PowerPoint and Outlook
2–4 years of experience in project coordination, executive assistance, or related roles (experience in construction, woodworking, or manufacturing environments strongly preferred)
Possess expert-level written and verbal communication skills
Highly self-motivated with the ability to exercise exceptional judgement and discretion in a variety of high-pressure situations
Strong intellectual curiosity and willingness to learn to increase proficiency in role
Demonstrate proactive approaches to problem-solving with strong judgment and decision-making capability
Ability to multi-task, deal with ambiguity and reprioritize tasks in response to unexpected changes in priorities
Ability to deal with multiple and strong personality types
