Job Description We are seeking a highly organized and proactive Executive Assistant to support our CEO. The Executive Assistant will be responsible for a wide range of administrative and executive support-related tasks, working independently with little or no supervision. This role requires a well-organized individual who is flexible and enjoys the administrative challenges of supporting a diverse team of people. This role will provide assistance with many day-to-day functions to support our CEO (and other departments as required). In this role, you will be a professional and confidential administrator who is experienced in supporting C-Level executives and is an excellent multitasker. This is a 100% on-site role at our Boca Raton, FL corporate office with core office hours from Monday-Friday weekly from 9 A.M. – 5:30 P.M. What You’ll Do Offer executive support for the CEO including email management, appointment and meeting scheduling, verbal and written communications and other routine and ad-hoc administrative requests. Perform general office administrative duties including procurement of supplies and equipment, managing vendors and visitors and event management. Manage credit card reports for the CEO and administer the Corporate Office Card. Maintain email and telephone distribution lists. Manage company FedEx account. Provide notarization services. Other professional administrative, office management and miscellaneous duties as required. Qualifications 5 years of general administrative experience working with executive-level employees. Must have strong MS Office 365 skills, including SharePoint, Outlook, PowerPoint, Word, and Excel and learn new technologies quickly as this is a paperless workplace. Excellent organizational and time management skills. Strong written and verbal communication skills. Ability to handle confidential information with discretion. Proactive approach to problem-solving with strong decision-making capability. Ability to work professionally, confidentially, independently and as part of a team.
