Overview Performs complex and specialized executive administration assistance to a Vice President at GE Aerospace. Serves as the primary point of contact for internal and external constituencies. The Executive Assistant may also serve as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and executive relations efforts; and oversees special projects. The ideal candidate has prior executive C-suite experience, can exercise good judgment in a variety of situations, with strong written and verbal communication, and proactive administrative and organizational skills. The Executive Assistant must work independently with minimal direction in a fast-paced, high-pressure environment, and be accessible outside of normal working hours. Must be able to manage a wide variety of activities and confidential matters with discretion. Location: Cincinnati, OH. Essential Responsibilities Provides exceptional calendar management. Demonstrated ability to manage complex schedules, prioritize inquiries and requests, troubleshoot conflicts with little guidance, and make independent judgments to ensure smooth day-to-day engagements. Communicate directly, and on behalf of the officer, to a broad range of internal and external stakeholders. Facilitate smooth communication between the leader’s office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff inclusive of peers and directs. Coordinate domestic and international travel arrangements; create travel itineraries; arrange transportation, lodging, and other needs; communicate with supervisors while traveling; process and reconcile T&L expense accounts; print and submit VAT reports. Identify efficient travel alternatives that align with business and personal needs of the officer. Work closely with the officer to keep them informed of upcoming commitments and responsibilities; follow up as needed. Coordinate with key staff to ensure efficiency and effectiveness of logistics. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion under deadline pressure. Schedule, plan and organize all logistical details for in-house and off-site meetings, training and events. Manage logistics for leaders (transportation, hotel, catering, tickets); prepare presentations and documents; travel to events if required to assist on-site. Coordinate with broader planning teams as necessary. Develop and prepare agendas for departmental meetings; coordinate and attend staff meetings as appropriate; prepare and distribute minutes as needed. Maintain filing and records management systems and other office flow procedures, including confidential information. Prepare, track and coordinate mail and shipments; manage inventory of office supplies and equipment within budget constraints. Support community responsibility events/activities. Identify credentials to ensure proper access for employees (US and foreign nationals) and visitors to protect proprietary information and comply with regulations. Know point of contacts and tools for all requests. Facilities coordination: manage new hire workspace, office moves, update floor plans, report building issues and communicate as necessary. Maintain office equipment and request service as needed. Custodian of organizational resources. Make decisions per established policies, procedures and regulations and apply them to work problems. Manage contacts using Outlook to conduct up-to-date database entry, track highly classified correspondence, and facilitate relationships with key stakeholders. Maintain up-to-date organization charts, phone lists, and birthday lists. Qualifications/Requirements Bachelor's degree from an accredited university or college (or a high school diploma / GED). Minimum of 5 years’ experience as an administrative assistant, including 3 years of experience supporting high-level executives (Sr. Manager and above), preferably within a large organization. Previous experience supporting C-suite level officer required. Flexibility to support requests outside of standard working hours. Desired Characteristics Knowledge of general office management and current computer/office technologies; expert in Microsoft PowerPoint, Word, Excel and Outlook. Ability to run reports in Excel, Access, Business Objects and other data programs. Input and maintain data in Oracle databases. Self-starter, proactive, able to work independently with minimal direction, able to maintain confidentiality and handle matters discreetly. Effective time management and organizational skills; able to balance multiple priorities. Ability to interact and communicate effectively with senior management, corporate contacts and external customers. Excellent interpersonal, verbal and written communications with strong grammar and high attention to detail. Able to anticipate future needs of the team/leader, implement processes to ensure flawless execution of deliverables. Able to identify and prioritize goals, create solutions, meet deadlines while considering strategy and efficiency. Team-oriented with strong interpersonal skills, capable of working within a globally diverse team across time zones. Pay and Benefits Pay range: $63,000 - $120,000 annually. This posting is expected to close on September 26, 2025.
