Job Description We are seeking a highly professional, proactive, and dedicated Executive Assistant to provide direct support to the Chief Corporate Officer (CCO). This high-profile role requires a self-starter with excellent judgment, flexibility, discretion, and a strong sense of service. The ideal candidate will thrive in a fast-paced environment, effectively manage a wide range of administrative and personal tasks, and consistently demonstrate initiative and confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide high-level executive and personal support to the CCO, including assistance with errands as needed
Manage and maintain complex calendars, coordinate meetings, appointments, and travel arrangements
Answer and direct calls, greet visitors, and handle all communications in a professional and welcoming manner
Prepare and process accurate expense reports using Concur in a timely fashion
Perform general administrative duties, including filing, copying, scanning, and managing correspondence
Draft, edit, and format communications and presentations as needed
Maintain strict confidentiality and demonstrate discretion in handling sensitive information
Provide coverage for other Executive Assistants during absences and collaborate on team initiatives
Interact professionally with senior executives, board members, and employees at all levels
Proactively identify opportunities to improve workflows and anticipate the needs of the CCO
Consistently meet deadlines and prioritize competing tasks
Execute special projects and ad hoc tasks as assigned
Requirements 5-7 years of experience of executive/administrative support experience
Expert-level proficiency and knowledge of MS Office (Word, Outlook, Excel, PowerPoint, etc.)
High degree of discretion dealing with confidential information
Strong organizational, listening, verbal, and written communication skills
Ability to professionally communicate both internally and externally with individuals at all levels of an organization, including senior leadership
Exceptional organizational, prioritization, and multi-tasking skills
Energetic yet calm, even-tempered attitude, "do whatever it takes" to get the job done
Ability to work both independently and in a team setting; flexible, adaptable, and thrives in a fast-paced, changing environment
Skilled in being a self-motivating, humble, and proactive team player
Exceptional time management and customer support skills
