Position Executive Assistant
Your tasks: Act as liaison between upper management and production workforce. Create rapport with all departments while keeping a professional demeanor and high level of confidentiality.
Strategic and operative tasks: Monthly management meeting presentation
Monthly reports: hours worked, on time delivery, finished goods
Weekly production KPI for operations meeting
Create work instructions, training documentation
Create memos for plant-wide communication of important topics
Write/Proofread GroupNet articles
Target tracking for COO direct reports (managers)
Create spreadsheet each year with new targets
Track and update monthly numbers
Finalize mid-year and end of year targets for payout
Manage/administer official target tool
Greet visitors
Safety Policy adherence and assistance in emergency situations
Run monthly report for visitor badge log
Alert staff of severe weather via intercom/air horn
Primary contact for security guard
Manage internal badge system – KABA including locking, issuing of badges and temporary badges
Plan and organize dinners, lunches, any type of events and activities
Filing and scanning of documents
Record meeting minutes
Create production documents and check sheets
Update and distribute internal phone directory
Generate annual factory calendar with key dates
Administer internal calendars for COO and conference rooms
Organize, coordinate and facilitate meetings with internal as well as external participants
Organize events and activities to boost employee morale
Coordinate with venues, caterers, entertainment, etc.
Manage accounts for Refreshments and Gold’s Gym, as part of the GPTW initiative
Primary contact for Micro Market card system and service repairs
Organize charity events
Arrange/assist in the facilitation of the Great Place to Work surveys and the follow-up activities for example schedule reward events
Assist the Marketing department
Attend trade shows to assist in marketing duties
Create and order business cards
Ship marketing materials and promo items to ASM and others, as needed.
Help coordinate internal logo apparel orders and distribution, including annual production uniforms
Travel off-site storage to locate/store/inventory marketing equipment
Organize and create storage solutions for literature
Create marketing packets for vendors, visitors, customers, other departments, etc.
Handle incoming and outgoing mail, packages, and deliveries.
Preparation of Sales Reports for the US Sales Teams
Preparation of the Sales Reports for individual Area Sales Managers
Preparation of Sales reports for Specific topics and portfolios
Contract Management with OEMs, REPs and End users
Supporting Sales team with Sales Force Activities, data quality and reporting
Support for Sales Budget and personnel topics
Search for project information, data preparation and Sales Force
Verification of Data in Sales Force, coordinate updates with the Sales Team
Your profile: Education:
High school diploma required; Bachelor's degree in Business Administration or related field preferred.
At least four years of related experience required.
