We are seeking a detail-oriented and proactive Recruiting and Onboarding Coordinator to develop, facilitate, and implement all phases of the recruitment process for our internal teams. This role will be the first point of contact for candidates, manage initial recruiting logistics, working with hiring managers, and ensure a seamless onboarding experience. The Recruiting and Onboarding Coordinator will also play a critical role in scheduling and coordinating interviews for high-level roles, managing candidate communication, and preparing all onboarding logistics for new hires. Job Duties & Responsibilities Recruiting Support Partner with hiring managers to understand role requirements, timelines, job descriptions, and recruiting priorities. Post job openings across approved job boards, the company website, and relevant social media channels. Manage applicant tracking system (ATS) entries, ensuring candidate information is accurate and up to date. Screen resumes to identify qualified candidates and forward to hiring managers for review. Coordinate and schedule interviews (phone, virtual, and in-person), ensuring all stakeholders are informed and prepared. Communicate with candidates to provide timely updates on their application status. High-Level Role Recruitment Logistics Serve as the point person for executive-level or critical hires, coordinating complex interview schedules across multiple time zones. Prepare interview guides, candidate bios, and briefing materials for interview panels. Maintain confidentiality and professionalism when handling sensitive candidate information. Onboarding Prepare offer letters and ensure completion of all pre-employment requirements (e.g., background checks, references, paperwork). Coordinate start dates and communicate onboarding schedules to new hires and hiring team. Arrange onboarding logistics, such as IT setup, workspace preparation, and welcome kits. Partner with HR and department leaders to ensure smooth integration of new hires into their teams. Administrative & Process Management Maintain and update recruiting and onboarding process documentation. Be familiar with all employee benefit programs such as health, life, disability, retirement, leaves of absence, paid time off. Track recruiting metrics and provide regular reports on candidate pipelines, time-to-fill, and onboarding completion. Support process improvement initiatives to enhance the candidate and hiring manager experience. Perform other duties as assigned Required Qualifications Bachelor’s degree in human resources, related field, or equivalent work experience; certification a plus. 2+ years of experience in recruiting coordination, HR coordination, or related administrative role. Strong organizational skills with the ability to manage multiple priorities simultaneously. Excellent communication and interpersonal skills; able to work effectively with candidates and internal stakeholders. Experience working with an applicant tracking system (ATS) and other recruiting tools. Experience working and complying with a multi-state employer. High attention to detail and ability to maintain confidentiality. Proficiency with Microsoft Office Suite and web-based products. Proven ability to manage multiple tasks and deadlines effectively Ideal Candidate Attributes Proactive and resourceful with a problem-solving mindset. Physical Demands Ability to work in a traditional professional office setting or remote equivalent Prolonged periods of sitting at a desk and working on a computer Advanced computer skills and ability to effectively operate computer equipment, software systems and databases Work schedule may vary and is determined by project schedules Ability to communicate via telephone, computer and work in virtual teams Must be able to lift up to 15 pounds at a time Ability to travel using personal vehicle to other office locations as needed The responsibilities may require overnight travel.
