About the job As an Executive Assistant , you will be the master organizer, a communication guru, and a problem-solving ninja. We are seeking an energetic individual to join our fast-paced tech company, where innovation is the name of the game, and every day brings exciting new challenges.
Responsibilities Schedule internal and external appointments, plan meetings/events, and maintain complex and changing calendars, while addressing scheduling roadblocks.
Set up and prepare for onsite and virtual demos, coordinating with tech and non-tech teams.
Manage high-volume emails and flag urgent messages for the C-suite.
Draft and prepare routine and advanced correspondence, including emails, presentations and reports. Review outgoing correspondence for accuracy, format, signatures, and conformance with executive procedures.
Assist leadership by optimizing time usage and making decisions regarding short-term priorities and activities.
Arrange travel following company procedures and assist with obtaining travel documents, including visas/passports, while supporting leadership expenses/credit card reconciliation.
Assist Human Resources with the setup of new hires.
Compile, prepare and process leadership expenses and credit card reconciliation where needed.
Support budgets and operational cost management.
Education & Experience Bachelor’s degree in business preferred or relevant work experience
Minimum of seven (7) years of experience in an Executive Assistant role supporting c-suite executives, preferably in a tech organization
Required Skills / Certifications Flexibility to be available to take calls and handle matters outside of core business hours as needed
Basic knowledge of project management tools like Asana to track tasks, deadlines and priorities
Highly organized with exceptional communication skills and ability to manage a variety of high-priority projects
Ability to generate reports, presentations, and draft communications for internal and external use
Desire to grow and take on your own projects as deemed appropriate by leadership
Professional demeanor and soft skills such as discretion and adaptability
Positive and personable can-do attitude
Mastery of Microsoft Office suite and Google Workspace
Ability to effectively use calendar management and other tools to coordinate complex meetings and events
Experience handling confidential materials for executives
Preferred Skills / Certifications Experience working for tech executives
Basic knowledge of working in an agile environment
Security clearance You must be able to obtain a security clearance (Secret or higher) – US Citizenship required
Compensation $80,000-$125,000 per year based on skills and experience
