Position Summary Sorren is looking for an Executive Assistant to provide professional-level support for our Office Partner-In-Charge based in Madison, WI. This is a highly responsible administrative and professional role that requires a high degree of accuracy, accountability, attention to detail, and confidentiality.
Essential Job Functions Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
Prepares agendas, sends notices, and attends meetings and work sessions for the purpose of providing information, recording minutes, and supporting the needs of other attendees
Conducts advanced clerical research and obtains pertinent materials and information for meetings and reports
Prepares, proofs, edits, and distributes email correspondence, memoranda, charts, and reports
Processes incoming and outgoing communication for the Office Partner-In-Charge
Creates and maintains electronic databases, spreadsheets, and logs
Works independently on projects and initiatives assigned by the Office Partner-In-Charge
Serves as a communications link between the Office Partner-In-Charge and both internal and external stakeholders
Coordinates conference and travel plans if needed
Assists with overall organization and execution of business-related office events
Coordinates with national marketing team on local marketing campaigns
Required Skills and Qualifications 4 or more years of experience in an administrative role reporting directly to upper management
Excellent written and verbal communication skills
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
Proficiency with office productivity tools and an aptitude for learning new software and systems
Proven experience and ability to maintain confidentiality of information
Flexible team player, willing to adapt to changes, and unafraid of challenges
Responsibilities Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements
Assist in event planning and execution, ensuring all details are handled professionally and efficiently
Serve as the first point of contact for internal and external stakeholders, demonstrating excellent customer service skills
Perform clerical tasks such as data entry, filing, and maintaining organized records
Proofread documents for accuracy and clarity before distribution
Utilize computer literacy to create presentations, reports, and correspondence as needed
Maintain confidentiality while handling sensitive information and communications
Support various projects as assigned by executives, demonstrating strong organizational skills
Experience Proven experience in an executive administrative support role or similar position is preferred
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Excellent written and verbal communication skills are essential for interacting with diverse stakeholders
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
Experience with event planning is highly desirable but not mandatory
A background in customer service or clerical work will be considered an asset
