Leave Of Absence Specialist
Position Overview
The Leave Specialist is responsible for administering all types of employee leaves, including FMLA, ADA, parental, medical, and personal leaves, in partnership with our third-party leave and disability vendors. This position will play a key role in the ongoing administration of the Minnesota Paid Family and Medical Leave (MN PFML) program, serving as the primary liaison with the State of Minnesota and internal stakeholders.
This role requires strong organizational skills, attention to detail, and the ability to quickly learn the nuances of Minnesota’s new paid leave program and other state-specific leave types. The Leave Specialist ensures compliance with applicable laws and provides excellent support to employees and managers throughout the leave process.
Responsibilities
Administer all types of leave (FMLA, ADA, parental, medical, personal) from initiation through return-to-work.
Serve as the main point of contact with the State of Minnesota for MN PFML benefits.
Partner with the third-party leave and short-term disability administrator to monitor claims, resolve discrepancies, and ensure seamless coordination between all leave types.
Communicate leave status, approvals, and next steps to employees and managers in a timely, empathetic, and professional manner.
Support managers by correctly coding timecards during leave periods.
Review and process return-to-work documentation, ensuring smooth transitions.
Assist in preparing policies, training materials, and communications related to MN PFML implementation.
Collaborate with HR colleagues to ensure consistent application of policies and positive employee experience.
Perform other duties as assigned.

Qualifications
Requirements/Qualifications
Bachelor’s degree in human resources, Business Administration, or a related field, or equivalent experience (preferred).
Minimum of 3 years of experience administering leaves of absence, including FMLA, ADA, and state-specific programs.
Basic understanding of Minnesota state leave requirements with the ability to quickly learn new regulations.
Experience coordinating with third-party administrators and/or disability vendors.
Strong working knowledge of employment and leave laws (FMLA, ADA, state leave laws).
Exceptional communication and customer service skills, with the ability to handle sensitive information professionally.
High attention to detail, organizational accuracy, and follow-through.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
The salary range for this role is $60,000 - $65,000 annually. An employee’s actual annual salary will be based on but not limited to: geographic location, relevant education, applicable certifications, depth of experience, and special skillsets. The total compensation package for this position may also include the opportunity to participate in employee benefits including our medical/dental/vision/pet insurance, disability and life insurance, paid time off, and 401(k) retirement plans, subject to applicable plan terms, and/or eligibility for other compensation.
