Overview LaSalle Investment Management is looking for an Executive Assistant based in Chicago, IL to support Portfolio Managers and Investment Vehicles. The role is highly confidential and covers a wide range of administrative and business operations duties.

Key Responsibilities

Draft confidential correspondence, edit documents, take and transcribe minutes of meetings.

Create, maintain, and update various databases.

Serve as liaison between executives, internal management, employees, clients, and visitors.

Review incoming correspondence via paper or email and determine appropriate actions.

Lead and monitor issues and follow up.

Take independent action on handling requests and act as liaison between departments.

Plan, coordinate, and support meetings and conferences.

Arrange domestic and international travel and handle expense reporting.

Assist with processing department financial data related to budgets, accounts payable, and generating financial queries and reports.

Administer the department/business unit record keeping system.

Ensure files are maintained according to company policies and procedures.

Committee/Meeting organization; facilitate technology, coordinate and distribute materials for leadership meetings, earnings calls, etc.

Manage scheduling and travel plans for the Board of Directors quarterly meeting.

Work cooperatively with other administrative assistants to back up each other smoothly.

Complete additional administrative tasks as needed by the team/business.

Minimum Qualifications

Bachelor’s degree.

Minimum two years supporting an executive at the Managing Director level or above.

Proficient knowledge of MS Outlook, Word, Excel, and PowerPoint.

Effective interpersonal skills, including superior oral and written communication skills.

Advanced ability to organize, prioritize, multi-task, and juggle competing priorities.

Tact and good judgment in confidential situations and proven experience interacting with senior management.

Compensation Estimated salary range: $75,000.00 – $85,000.00 USD per year.
