This position will assist with the operational management of the educational and research activities of the Department of Microbiology and Immunology within the UIC College of Medicine.

Duties & Responsibilities:

Serve in the role of Chrome River delegate for all University purchasing cards and employee reimbursements in accordance with University policies and procedures.

Responsible for coordinating facilities management repairs; submit billable and non-billable requests via FMWeb.

Ordering supplies for Department Head’s laboratory.

Acts as the liaison with University Payables (UPAY) and Purchasing to resolve vendor payment issues and open encumbrances

Provide assistance with the fiscal management of the department’s research portfolio. Prepare monthly reports, process labor distribution and earnings transfers.

Provide administrative support to the department head, including maintaining their calendar (maintain and respond to requests for meetings), answering phone calls, maintain lab meeting schedule and room reservations, maintain lab website.

Management of the departmental seminar program including coordinating travel and hotel accommodations, visit itineraries, schedule, arranging luncheons, Internal communications, marketing and budgeting. This includes seminar, research in progress and Journal Club.

Record and transcribe minutes for faculty meetings, manage classroom and conference room scheduling

Manage departmental website and submissions to the Journal of Virology

Help coordinate scientific meetings and collaborations in the department.

Serve as point-of-contact for faculty, students, staff and visitors to the department.

Perform other related duties and participate in special projects as assigned.
