Job Overview Project Coordinator
Location: Worldwide (Remote possible). Salary: $75,000—$85,000 USD.
What You Will Do We are seeking a highly organized and detail‑oriented Project Coordinator to support the successful planning, execution, and completion of Audio‑Visual (AV) and technical infrastructure projects. You will collaborate closely with clients, vendors, and internal teams to ensure projects are delivered on time, within scope and within budget.
Key Responsibilities
Assist in defining project scope, objectives, and deliverables in collaboration with clients and internal stakeholders.
Create and maintain detailed project schedules, plans, and budgets.
Coordinate procurement and deployment of materials, equipment, and personnel.
Monitor project timelines and progress to ensure milestones are achieved.
Resource and team coordination: allocate and schedule resources effectively.
Provide ongoing administrative support: documentation management, meeting notes, and task tracking.
Act as client point of contact: provide timely updates, answer questions, and manage expectations.
Facilitate communication between internal departments, external vendors, and clients.
Support relationship‑building through professionalism, responsiveness, and attention to detail.
Assist with on‑site AV system integration and equipment installation, ensuring alignment with quality standards.
Support troubleshooting efforts and escalating technical issues as needed; identify and communicate potential risks or delays.
Track project‑related expenses and assist with budget adherence; identify cost‑saving measures without compromising quality or timelines.
Prepare project reports, documentation, and regular status updates for internal leadership and clients.
Essential Criteria
1–3 years of project coordination experience, ideally within AV, IT, or technical service environments.
Basic understanding of AV systems, cabling, and installation workflows is preferred.
Strong organizational, time management, and communication skills.
Proficiency with project management tools (Smartsheet, Asana, MS Project) and the Microsoft Office Suite.
Ability to manage multiple priorities in a fast‑paced, team‑oriented environment.
