We’re seeking an experienced Executive Assistant to join a global leader in nutrition and ingredient solutions, known for its commitment to quality, innovation, and people-first culture. As the Executive Assistant, you will provide high-level administrative support to executive leaders while serving as a trusted liaison across departments and with external stakeholders. Reporting to the Executive Administration Team Lead, this role is part of a best-in-class administrative team that plays a critical role in supporting daily operations and strategic initiatives.

  • Location: Downtown Chicago, IL (Hybrid – 3+ days per week in office)
  • Possible temp to perm for the right fit
  • Up to $34/hr pay - weekly pay

Key Responsibilities

  • Provide high-level administrative support to VP-level and executive leadership team members
  • Manage and maintain complex calendars with strong attention to detail and prioritization
  • Coordinate domestic and international travel, including flights, accommodations, and ground transportation
  • Prepare and process expense reports and meeting documentation
  • Execute detailed meeting coordination, including logistics and preparation of materials
  • Proactively manage schedules, anticipating needs and protecting executive time
  • Handle confidential information with the highest level of professionalism and discretion
  • Coordinate special projects and events requiring advanced logistical planning
  • Collaborate closely with the U.S. and global administrative teams
  • Provide backup support to other executive assistants and front desk coverage when needed
  • Partner with the EA Team Lead on internal and external meetings, strategic initiatives, and events

Qualifications

  • Minimum of 2 years of experience supporting senior executives
  • Strong organizational skills and exceptional attention to detail
  • Ability to anticipate needs, think ahead, and manage shifting priorities
  • Excellent communication skills—both written and verbal—with a professional and approachable style
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and CoPilot)
  • Experience coordinating domestic and international travel
  • Strong problem-solving skills and ability to work independently and collaboratively
  • Flexible and adaptable to changing needs and schedules
  • Must have access to public transportation (parking not available)
  • Ability to support early morning and evening events as needed
