Summary

The Executive Assistant (EA) supports the Executive Director (ED) and the Senior Advisor to the ED, maintaining high levels of trust and confidentiality. The EA is the primary point of contact for internal and external constituencies, providing diplomacy and positive relations. Core duties include managing calendars, coordinating communications and logistics, reviewing correspondences, processing expense reports, arranging travel, supervising the administrative team, and handling sensitive issues with discretion.

Responsibilities

  • Maintain and route information, manage calendars, initiate and follow through on purchases and settlements.
  • Organize meetings, take notes, coordinate travel, screen visitors, mail, email, and phone calls.
  • Review, coordinate, and produce documents for signature.
  • Serve as trusted aide, safeguarding conversations and documents to protect the organization’s reputation.
  • Assist ED in hosting meetings, taking notes, and distributing tasks for follow‑up.
  • Represent the organization with diplomacy and serve as first point of contact.
  • Supervise front office coordinator and oversee administrative and operations support staff.
  • Coordinate with internal staff and external partners to gather necessary information or responses.
  • Manage ED’s calendar, email inbox, and time efficiently; adjust schedules as needed.

Qualifications

  • Bachelor’s degree in business administration or related discipline is desirable.
  • Proven experience as an Executive or Administrative Assistant supporting senior management.
  • Proficiency in Microsoft Office Suite: Outlook, Teams, Excel, PowerPoint, Word.
  • Experience preparing and monitoring budgets.
  • Strong independent judgment, problem‑solving, and discretion with confidential matters.
  • Excellent communication and interpersonal skills, cultivating respectful relationships.
  • Familiarity with CRM or project‑management tools for tracking tasks and follow‑ups.
  • Understanding of tribal governments and natural resource issues is desirable.
