The Executive Assistant will provide on-sight, high-level administrative support to the CEO and other senior executives. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Responsibilities and Duties:
- Manage calendars and schedule meetings
- Organize travel arrangements (flights, hotels, itineraries)
- Handle correspondence (emails, phone calls, memos)
- Prepare reports, presentations, and documents
- Draft and proofread communications
- Coordinate with departments and teams on behalf of the executive
- Plan and organize meetings, including agendas and minutes
- Coordinate logistics for events, conferences, and board meetings
- Ensure follow-ups and action items are tracked and completed
- Assist with or manage special projects and assist with HR and IT as needed
- Track deadlines and deliverables
- Conduct research and compile data for decision-making
- Handle sensitive information with the utmost confidentiality
- Manage confidential files and records
- Order office supplies
- Manage vendor relationships
- Oversee office operations and facilities
- Anticipate the needs of the executive
- Provide insights and recommendations
- Support strategic planning and execution
Qualifications:
- Bachelor’s degree or equivalent experience
- Proven experience as an executive assistant or other relevant administrative support experience
- In-depth understanding of MS Office Suite
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Professional level verbal and written communications skills
