CU Conference Services (CUCS) invites applications for a full‑time Conference Specialist. The specialist will employ logistical planning, technical implementation of online services, and virtual conference production to support conference events that advance the University of Colorado Boulder’s educational mission.

Key Responsibilities

Plan, coordinate, and execute professional conferences, student programs, and youth sports camps that align with the University’s educational mission.

Provide guidance to clients and planning committees on campus facilities and resources based on group needs.

Develop, manage, and monitor event budgets, negotiating contracts with goods and services.

Oversee lodging, meeting space, catering, transportation, registration, technical support, and vendor exhibits; contract third‑party providers as necessary.

Implement hybrid and virtual conferences; contract technical production services and secure virtual platform licenses.

Serve as the main contact and liaison between clients, campus partners, and third‑party suppliers to ensure seamless execution of contracted services.

Ensure compliance with government regulations, state and local laws, and university procurement policies.

Collaborate with Student Life Business Services to facilitate procurements related to purchase orders and third‑party invoices.

Evaluate conference processes and review post‑conference assessment surveys to identify improvements.

Technology Services

Build, implement, and manage conference registration and abstract websites with the Registration & Abstract Services Specialist.

Proof and report registration/abstract submissions, including fee payments and personal information.

Prepare and disseminate refunds, invoices, and reporting to clients and registrants.

Create name badges, registration check‑in materials, and supplies.

Develop, organize, and implement on‑site conference registration check‑in needs.

Resolve registration disputes and reconcile total registrations and abstract submissions.

Maintain and update registration and abstract standard operating procedures (SOPs).

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, MS Teams), Zoom, Kinetics, EMS, Prism, Stova, Confluence, and virtual platforms.

Strategic Partnerships & Relationships

Build and maintain effective relationships with campus staff, departmental partners, and vendor contacts.

Serve as a member or lead on CUCS internal work groups charged with improving operating processes.

Update SOPs and other operational documents as needed.

Participate in division and campus committees; attend team meetings and professional development trainings.

Support student staff and oversee their assignments for conference logistics.

Manage special projects requested by the CUCS Assistant Director or Director.

Use a university vehicle for some duties.

Qualifications

Minimum 1 year of progressive experience in a university or association conference office setting, with responsibilities in conference coordination, registration, and/or abstract management.

Bachelor’s degree (an equivalent combination of education and experience may be substituted).

Ability to work evenings, weekends, and during conferences throughout the summer.

Strong business English, spelling, and grammar skills.

Effective problem‑solving, budgeting, contract negotiation, and communication skills.

Proficiency in data entry and use of multiple data systems.

Preferred Additional Experience

3+ years in a hotel, association, or university conference office environment.

Certified Meeting Professional (CMP) or Collegiate Conference and Events Professional (CCEP) certification.

Degree in business, hotel management, commercial recreation, tourism, hospitality, or a related field.

Knowledge of campus, department, and residence hall policies and procedures.

Experience coordinating steps for conferences.

Compensation and Benefits

Starting salary: $51,000–$54,000.
