Under minimal supervision the Senior Leave of Absence Specialist provides support for the Company’s benefits plans, which may include, but not limited to, medical, dental, vision, prescription, life, accidental death, short-term and long-term disability, 401(k), flexible spending accounts, COBRA, leaves of absence, employee assistance program, vacation and paid time off (PTO) plans, tuition reimbursement and wellness programs.
Essential Duties and Responsibilities
Provides customer service support to employees in the areas of FMLA and disability claim resolution, disability benefit payments and other plan administration resolutions
Process and manage leave requests including FMLA, short-term disability, long-term disability, maternity and paternity leaves. Preferred knowledge of ADA and accommodation requests
Handle confidential medical information in compliance with HIPPA and other privacy regulations
Evaluates escalated issues for resolution or the need for further review; takes necessary action
Verifies and processes both electronic and paper benefits enrollment forms
Assists employees with filing disability benefit claims
Serves as a liaison between vendors and employees; advises employees on eligibility, coverage and other benefits matters
Reviews reports from plan providers to verify accuracy and resolve differences
Ensures electronic leave and/or disability files are maintained
Provides vendors appropriate documentation for life and disability benefits claims
Maintains knowledge of legal requirements and regulations affecting leaves and leave administration; ensures practices, procedures and reporting are in compliance
Analyzes, evaluates and recommends new benefits tools
Evaluates requests, determines leave eligibility and processes leave of absence approvals and rejections
Ensures the Company remains compliant with laws, including, but not limited to, ACA, ADA, ERISA, COBRA, FMLA, HIPAA, USERRA, IRS and other federal and/or state requirements; ensures practices, procedures and reporting remain compliant
Provides leave notices and guidance to employees, including but not limited to, federal and state notices
Provides accurate information regarding paid sick leave and PTO plans, including calculations, reporting and audits
Stays current on the latest industry technologies, trends and strategies; brings forward ideas
Assists in the preparation of materials to communicate state leave and disability plan changes to employees
Coaches and mentors Leave Specialist I & II
Assists employees, vendors and customers by answering questions related to benefits and available leave options
Completes work in a timely and accurate manner while providing exceptional customer service
Other duties as assigned
Qualifications
This position requires a minimum of 5-8 years’ of progressive leave management experience. Bachelors or equivalent experience.
Intermediate proficiency in Microsoft Word, Excel, and PowerPoint
Experience with Workday or another human capital management (HCM) system
Ability to produce accurate, timely presentations
Strong analytical and research skills
Results-driven with strong critical thinking abilities
Excellent collaboration and relationship-building skills
Able to work efficiently under pressure and meet deadlines independently
Professional demeanor with strong verbal and written communication skills
Strong customer service skills with a positive, friendly attitude
Proven ability to self-motivate and motivate others
Team-oriented and able to serve as a trusted subject matter expert
Strong troubleshooting, problem-solving, and organizational skills
Can-do attitude with flexibility to adapt to changing requirements
Commitment to confidentiality, respect, and upholding company values
Educational Requirements Bachelor's degree in Business, Human Resources or related field or equivalent work experience.
Professional certifications are a plus.
Work Days Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.
Work Hours Normal work hours are 8:00 a.m. to 5:00 p.m. Additional hours may be necessary.
