Job Description
This opportunity is open only to individuals who currently hold an active U.S. Department of Defense (DoD) security clearance at the required level. Engagement will be under a 1099 / Business-to-Business (B2B) contractual arrangement — not a W-2 employment position. As this is a B2B / 1099 engagement, benefits such as health insurance, paid time off, and retirement plans are not provided. Contractors are responsible for managing their own taxes, insurance, and other business obligations in accordance with federal and state requirements. A seasoned event coordination and logistics professional with a 4-year university degree and proven experience managing large, complex events in NATO or multinational environments. The ideal candidate has at least five years of hands‑on event planning, including security, IT, facilities, transportation, and real‑life support for groups of 50+ participants. They are adept at liaising with diverse stakeholders (military, government, and industry) and can deliver end-to-end planning from pre-event workshops to after‑action reviews. NATO Secret clearance and excellent English communication are essential. Preferred Background: Event managers or coordinators with NATO or defense event experience, preferably with AAR contributions. Responsibilities
Coordinate and oversee all administrative, IT, security, facility, transportation, catering, and real‑life support requirements for all wargame‑related events Support all phases: planning conferences, workshops, rehearsals, play tests, briefings, and after‑action reviews Serve as the central point of contact for event management, liaising with facility owners, NCIA (IT services), NATO security, catering, transport, and lodging providers Develop, maintain, and distribute all event documentation (invitations, admin instructions, rosters, security lists) Ensure venues are booked, configured, and ready — including layout and contingency planning Oversee participant registration, access control, and security coordination Manage logistics for lodging, transportation, catering, and secure movement of sensitive materials Contribute lessons learned and event‑management annexes to final reports Support continuous process improvement for future events Provide regular updates to the Project Manager / Game Director on status, risks, and recommendations Perform related tasks as required within the scope of the contract Requirements
Nationality of one of the NATO member countries Minimum five (5) years of professional event coordination and management experience for events hosting at least 50 people Experience working in multinational teams and stakeholder management Demonstrated understanding of all elements of event management, including facilities, transportation, administration, security, IT, and logistics Familiarity with coordinating events in Europe Proficiency in Microsoft Office and collaborative software Prior experience coordinating or managing events at the operational and/or strategic level Experience contributing to after‑action reviews and writing event‑management annexes or related report sections As this is a B2B / 1099 engagement, benefits such as health insurance, paid time off, and retirement plans are not provided.
