Donor Relations Associate

FLSA Status : Full Time - non-exempt

Reports to:

Donor Relations Manager

Schedule:

Monday- Friday, Standard office hours

Rate of Pay : $24.00 - $27.00 / hour

Benefits : Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Function

Under the direction of the Director of Major Gifts, the

Donor Relations Associate

will provide general office and administrative support to the Intermountain Division's Donor Relations Directors (DRDs). This position is critical to the division's fundraising effort through donor communication and interface.

Duties and Responsibilities

Major Giving Discipline

Enter donor information into Portfolio for each DRD.

Includes scanning documents and attaching them to donor files.

Assisting with entering communication notes as requested by DRDs.

Prepare and distribute William Booth Society letters and certificates as needed.

Provide support to the Special Events Manager in the production of the William Booth Society annual reception.

Manage all DRD donor hard and electronic copy files in an organized and confidential manner.

Run standardized Portfolio reports as requested by DRDs.

Coordinate special mailing efforts as communicated through the 12-month cultivation plan.

General letter writing – Thank you’s, acknowledgments, etc.

Maintain spreadsheets for designated donor and stock gifts as needed.

Submit expense, motor vehicle & others through Finance procedures.

Coordinate with the Development Associate – DM to process Child Care Contribution and Enterprise Zone letters and forms for DRD caseload donors.

Answer and transfer phone calls to DRDs as needed.

Conduct Portfolio donor research as needed.

General office support

DRD expense report preparation.

Maintain office supplies, copier, and troubleshooting issues.

Create donor meeting presentation materials.

Assist other development disciplines as needed.

Take notes at all relevant meetings.

Maintain and operate folding machine for mailings.

Christmas – Seasonal

Other duties as assigned.

Christmas CD purchase and distribution.

Holiday cards – coordinate Thanksgiving & Christmas CD mailing.

Performs other duties as required

Education, Experience, Skills, Qualities

Education/Experience

High school diploma required

Some college coursework preferred.

At least three years of administrative experience in a general office setting.

Skills

Good written and oral communication skills

Good organizational skills

Ability to follow instructions and offer constructive suggestions for improvement

Must demonstrate a high level of accuracy and attention to detail

Must be able to handle confidential material and maintain department confidentiality

General office experience with a working knowledge of Word, Excel, PowerPoint, and Outlook

Working knowledge of integrated database applications and ability to use new software with basic training, including Portfolio, Egistics, Wealth Engine, and others

Driving

If the position requires driving:

A minimum age of 21 (for insurance provision) and possession of a valid in-state driver’s license is required.

An MVR will be processed yearly per The Salvation Army’s policies.

Background Check

Continued employment will be contingent upon a biennial (every two years) background check that is processed per The Salvation Army’s policies.

Physical Requirements

Qualifications Education High School or Equivalent or better.

Experience Administrative experience in a general office setting with three years.
