The Clinic Manager is responsible for overseeing the day-to-day operations of the veterinary clinic, ensuring high-quality medical care for animals, a positive experience for clients and staff, and compliance with organizational and regulatory standards. This role serves as a key leader and liaison between clinic staff and upper leadership, managing personnel, processes, and performance to support LifeLine’s mission and values.

Leadership and Staff Management: Supervise all clinic personnel including veterinarians (full-time and relief), veterinary technicians, assistants, and administrative support staff. Oversee recruitment, hiring, onboarding, scheduling, and performance management, including conflict resolution and disciplinary action. Support and develop the Assistant Manager and Clinic Supervisor in their respective leadership duties. Take responsibility

to foster a culture of teamwork, and accountability among staff. Conduct regular staff meetings and facilitate daily shift communications. Support staff morale and well-being, particularly during high-stress periods.

Training and Development: Evaluate staff training needs and implement development plans in alignment with LifeLine’s organizational training goals. Coordinate continuing education (CE) opportunities for clinic staff. Courageously

, launch and implement new medical and operational protocols.

Operational Oversight: Manage overall clinic workflow and identify, troubleshoot, and resolve operational barriers. Ensure the clinic is adequately staffed to meet operational needs, including scheduling of veterinarians. Oversee medical rounds and ensure shelter animal health is monitored and maintained. Exhibit

by ensuring timely and accurate response to internal and external medical inquiries, invoicing and clinic emails. Participate in the intake and medical assessment of animals as needed, in order to drive LifeLine’s mission to

save lives

.

Compliance and Quality Assurance: Ensure compliance with LifeLine policies and veterinary regulations, including controlled substance handling and documentation. Conduct periodic audits of customer service delivery and controlled substance records. Monitor and report veterinarian performance or concerns to the Medical Director. Participate in leadership and interdepartmental meetings (e.g., DeKalb leadership).

Client and Community Relations: Serve as a liaison between the clinic and upper leadership, communicating operational updates, concerns, and achievements. Consult with directors concerning medical euthanasia cases, approaching each matter with professionalism and

compassion

. Support foster program medical liaisons and ensure continuity of care for foster animals.

Additional Responsibilities: Ensure efficient operations and exceptional customer service to all visitors, while respecting, embracing, and celebrating the diversity

of individuals. Help strengthen and

build a community

of animal welfare advocates by supporting and engaging the volunteers who aid the clinic teams. Continue education by participating in LifeLine’s 40-hour annual training requirement. Participate in emergency on-call rotation. Assist with heartworm treatments if appropriately licensed. Participate in medical record review, treatment planning, and data entry. Bring interdepartmental concerns to appropriate leads and collaborate on solutions. Support daily animal inventory management and ensure data accuracy.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Compassion for animals and the people who love and care for them. Excellent interpersonal communication skills and a commitment to outstanding client service. Demonstrated ability to coordinate with multiple entities. Demonstrated supervisory experience leading a team in a fast-paced environment. Must be able to work under stressful conditions and work efficiently and effectively under those conditions. Ability to stand for extended periods (8 hours a day) and to bend and reach to perform assigned work activities. Ability to lift and carry 50 lbs. without assistance. Ability to interact with public and shelter dogs, cats and other animals including vicious, stray, sick or injured animals. Ability to handle seeing and dealing with animals that have been abused, neglected or treated cruelly. Must be able to respond quickly to a variety of medical situations. Must be able to work weekends. Must pass a background check. Must have a means of travel that ensures prompt arrival for work shifts.

Education and/or Experience: Minimum of high school diploma or equivalent. Two or more years’ recent veterinary clinic experience, shelter medicine a plus. Two or more years’ recent supervising clinic staff including hiring, training and performance evaluation. Certification in euthanasia may be required. Registered/Licensed

Veterinary Technician a plus.

Work Environment: While performing the duties of this job, employee may be exposed to unpleasant kennel smells. May have to handle dogs and cats that are stray, injured, diseased or vicious.
