We’re looking for a Schedule Coordinator — a decisive, organized, and resilient leader who can manage the moving parts that keep our agency running each day.

This role isn’t about clerical work or sitting behind a desk – it’s about command, accountability, and immediate action. You’ll be trusted to make real-time decisions that keep clients safe and caregivers working.

Key Responsibilities

Oversee scheduling for all active clients and caregivers across the Dallas/Fort Worth & Houston region.

Proactively fill open shifts, resolve conflicts, and maintain 100% coverage wherever possible.

Manage caregiver attendance, call-outs, and shift replacements in real time.

Communicate professionally with clients, families, and field staff regarding schedule changes.

Track and document all updates accurately in our EHR and scheduling systems.

Monitor compliance with care plans, authorizations, and EVV requirements.

Step in to personally staff care visits when necessary to ensure continuity of care.

Collaborate closely with management on staffing forecasts, client satisfaction, and retention.

Participate in after-hours on-call rotation for urgent scheduling needs.

Qualifications

Minimum 2 years of home care, home health, or healthcare scheduling experience.

Prior caregiving experience required (CNA, HHA, or non-medical caregiver).

Strong leadership and communication skills – able to command respect while maintaining empathy.

Demonstrated ability to work under pressure, think critically, and act decisively.

High level of organization, detail orientation, and follow-through.

Proficiency in Google Sheets, GMail, Google Docs, and scheduling/EHR software. Preference to candidates familiar with SwyftOps.

Reliable transportation and proximity to Plano required. Must have your own car, valid unexpired driver's license, and valid unexpired car insurance.

Schedule

Office Hours: Monday–Friday, 8:00 AM – 5:00 PM (1 hour lunch).

On-Call Rotation: Shared among scheduling and management team (evenings/weekends as assigned).

Must have flexibility to adjust schedule for emergencies or coverage needs.
