The Office/Executive Assistant will play a critical role in supporting senior leadership while managing daily office operations. This dual-role position requires someone who can seamlessly switch between administrative tasks, executive support, and office coordination. You’ll be the go-to person for keeping the workplace running efficiently and executives on track.
Key Responsibilities
Champion daily office operations
– Keep our workspace running seamlessly by greeting guests, managing supplies, restocking essentials, and ensuring everything from coffee to conference rooms is ready to go. You’ll help create a space that’s productive, welcoming, and distinctly Maverick.
Coordinate mail, shipping, and deliveries
– Manage incoming and outgoing logistics with precision and care, ensuring packages, materials, and correspondence move efficiently through daily operations.
Elevate the onboarding experience
– Prepare workstations, credentials, and welcome kits for new hires. Introduce them to our tools (Slack, Google Workspace, internal systems) and make sure their first day feels effortless and inspiring.
Oversee vendors and facilities
– Act as the primary point of contact for building management and service providers. Coordinate cleaning, maintenance, and supply vendors to maintain a polished, high-functioning office environment.
Support company leadership
– Provide reliable assistance to executive officers by managing personal errands, coordinating schedules, preparing materials, and ensuring leadership priorities are executed smoothly and efficiently.
Plan and execute team gatherings
– Organize meetings, cultural events, and celebrations that bring people together and strengthen the Maverick community.
Maintain order and aesthetics
– Keep shared spaces organized, safe, and visually cohesive. Ensure every detail—from plants to presentation areas—reflects the professionalism and innovation of Maverick.
Contribute to evolving initiatives
– Jump in where needed to support special projects, facility improvements, and scaling operations. Your adaptability and problem‑solving mindset will be key to our continued growth.
Qualifications
Experience & initiative
– 2+ years in office coordination, administration, or operations support. You take ownership of your space and proactively improve systems without waiting for direction.
