Job Description The Building Services Clerk is a key member of the Building Management Team and is responsible for providing essential building‑related services to occupants of the SFPUC Headquarters. This role requires strong organizational skills, attention to detail, and the ability to interact effectively with building occupants and staff.
Essential Functions
Mail and Package Services
– Sort, distribute incoming U.S. Mail and packages; deliver and pick up interoffice mail at SFPUC Headquarters and City Hall; transport luggage cart containing mail between buildings.
Conference Room Management
– Monitor shared conference room inbox; review, accept, or decline reservation requests; coordinate room set‑up, tear‑down, and special arrangements; liaise with custodial team for cleaning or maintenance as needed.
Zero Waste Compliance
– Support compliance with the City’s Zero Waste Ordinance; assist staff in recycling used office equipment and supplies; upload reusable items to the Virtual Warehouse platform; track item offers, communicate with SF Environment regarding disposal, and coordinate pick‑ups; scan and file pickup receipts, ensuring proper documentation is sent to SF Environment.
Bike and Locker Room Oversight
– Provide orientations and tours to new users; review and approve access request forms; conduct weekly audits to ensure compliance with facility policies; maintain audit logs and report any policy violations.
Administrative and Clerical Support
– Perform various administrative tasks in support of the Building Management Team; participate in special building‑related projects as assigned; report facility issues to the Building Manager; respond to inquiries and provide information to building occupants; review documents for completeness and accuracy; file, maintain, and retrieve records, documents, and correspondence as needed; compile data and assist in the preparation of departmental reports; use sound judgment and apply knowledge of building policies and procedures in resolving clerical and operational issues; handle incoming emails, calls, and walk‑in inquiries, directing them appropriately.
Nature of the Work Must be able to lift packages weighing 20–30 lbs, stand for extended periods, and push mail carts or dollies throughout the building.
Qualifications
Experience:
Two (2) years of clerical experience including preparing and maintaining a variety of records and documents, filing, use of office equipment, public contact, and processing of incoming and outgoing mail.
Substitution:
Any one of the following may substitute for six (6) months of the required experience:
Completion of a clerical training program (240 hours).
15 semester units (or equivalent quarter units) of coursework from an accredited college or university.
Completion of an approved City and County of San Francisco Clerical Administrative training program.
One year of full‑time employment is equivalent to 2000 hours (based on a 40‑hour work week).
