The Director of Operations, Institutional Retirement Team, plays a critical leadership role in driving the operational excellence, advisor engagement, and data integrity of Concurrent’s institutional retirement business. This individual oversees the systems, reporting, and workflows that support retirement plan advisors and their clients across the platform.
Department: Retirement Plan Services Employment Type: Full Time Location: Tampa, FL Compensation: $90,000 - $110,000 / year
The ideal candidate combines a strong understanding of institutional retirement operations with exceptional project management, communication, and analytical skills. This role requires a high level of responsiveness, ownership, and collaboration with key stakeholders, including the Managing Director, Relationship Managers, Compliance, Finance, and technology partners (Practifi, RPAG, and others).
Key Responsibilities
Operational Leadership & Responsiveness
Serve as the primary point of contact for internal and external stakeholders across the Institutional Retirement business.
Respond to all advisor, internal, and partner communications within 24 hours, ensuring professional and proactive follow-up.
Oversee the internal ticketing and task management systems (e.g., Monday.com) to ensure all requests are tracked, prioritized, and completed within agreed SLAs.
Conduct quarterly engagement touchpoints with advisory offices to discuss plan performance, operational enhancements, and partnership opportunities.
Maintain consistent communication cadence with RPAG and other partners to share updates, tools, and insights that enhance advisor experience and client outcomes.
Business Performance, Reporting & Analytics
Lead the creation, validation, and distribution of monthly and quarterly reporting deliverables, including:
Institutional Dashboard: AUM, plan/participant counts, growth metrics, and advisor engagement summaries.
Institutional Business Summary: Monthly review of plan counts, revenue, and office-level performance trends in collaboration with Finance.
Fiduciary Investment Review (FIR) Reports: Coordinate quarterly report generation and ensure accuracy of investment data.
Oversee data integrity within Practifi and RPAG systems, ensuring advisor books, fee data, and templates are maintained and updated on a quarterly basis.
Partner with Finance to generate insights and identify trends in AUM, plan growth, and ancillary business utilization (e.g., AMA, Wealth Referrals).
Develop and refine a Practifi-based Retirement Dashboard to provide real-time visibility into key operational and business metrics.
Advisor Engagement & Relationship Management
Partner with the Managing Director and Relationship Managers to conduct quarterly reviews and planning sessions with top advisory offices.
Coordinate monthly advisor training sessions on RPAG tools and new resources.
Proactively identify opportunities to enhance advisor experience and create value-added touchpoints with institutional clients.
Lead planning and execution of participant and plan sponsor webinars, ensuring alignment with marketing and compliance teams.
Develop and maintain strong relationships with top recordkeeper (RK) and DCIO partners, coordinating quarterly meetings and capturing actionable insights in shared systems (OneNote, etc.).
Coordinate and continually fine tune new advisor transitions to Concurrent.
Accountability, Execution & Dependability
Deliver all department reports, dashboards, and summaries within established deadlines, without the need for reminders.
Produce a concise Weekly Summary Report for leadership outlining completed initiatives, upcoming priorities, and any risks or support needs.
Maintain consistent and accurate documentation of all advisor interactions, system updates, and compliance confirmations.
Coordinate the onboarding and training of new offices transitioning into the RPAG platform, including timeline development and progress tracking.
Own the department’s operational calendar and ensure timely completion of all recurring deliverables (e.g., RPAG updates, quarterly FIR reviews, webinar execution).
Collaboration & Continuous Improvement
Partner cross-functionally with Finance, Compliance, Marketing, and Technology to enhance systems, workflows, and reporting accuracy.
Maintain a proactive approach to operational challenges, offering solutions that improve advisor efficiency and client outcomes.
Contribute to departmental strategy by identifying process improvements, technology enhancements, and training opportunities.
Proactively create SOPs (Standard Operating Procedures) and enhance existing SOPs.
Qualifications
Bachelor’s degree in Business Administration, Finance, or related field required; advanced degree preferred.
5+ years of experience in retirement plan operations, institutional services, or retirement investment management.
Strong understanding of recordkeeping, fiduciary reporting, and plan sponsor engagement.
Proficiency with RPAG, Practifi (or CRM equivalents), and Microsoft 365 tools (Excel, Power BI, Teams, Planner).
Excellent written and verbal communication skills; capable of engaging with executives, advisors, and partners confidently.
Proven ability to manage multiple complex projects simultaneously with exceptional attention to detail.
Demonstrated ability to drive accountability, meet deadlines, and maintain responsiveness in a fast‑paced environment.
Working Conditions Location: This position can be based in Tampa, Florida; San Diego, California; or Dallas, Texas. Remote working arrangements may be considered. Hours: Full‑time position with standard working hours. Additional hours may be required during peak periods or regulatory examinations.
