Responsibilities
- Greet and assist visitors in a professional manner.
- Receive packages and check/deliver mail.
- Perform administrative tasks such as filing, data entry, expense reporting, scanning, scheduling interviews, and calendar management of the organization.
- Assist with general office duties—managing office supply inventory and orders, making coffee, submitting maintenance tickets through the maintenance portal, turning on/off common area touch‑board devices, and prepping/cleaning conference rooms.
- Manage conference room calendars and multiple departmental shared calendars.
- Assist the HR team with project management.
- Support logistics for onsite meetings and coordinate events across three sites in the area.
- Answer the phone in a timely, courteous manner and direct calls to the appropriate person.
- Keep reception area, break rooms, and conference rooms clean and free of used cups, glasses, cans, and trash; set up meeting rooms with replenishments.
- Work with the organization on various administrative tasks, travel planning, itinerary preparation, expense reporting, and event organization.
- Keep executives informed about all details going on in the organization.
- Manage the daily workflow; balance many priorities and design a suitable workflow.
- Able to foresee problems and take preemptive actions.
- Write well‑rounded sentences in professional language without errors.
- Employ oral and written skills to convey a positive message.
- Indirrectly responsible for product quality.
- Perform all other duties as assigned.
Qualifications
- 3+ years of experience as an Administrative Assistant or equivalent experience is required.
- High School or GED is required.
- 3+ years of Customer Service Experience is required.
- Proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, Teams, Outlook) is highly encouraged.
- Strong organizational skills with attention to detail are desirable.
- The ideal candidate should be friendly, detail oriented, honest, and able to work well with little to no supervision at times.
- Good communication, organizational, and computer skills are a must to interact constantly with team members and guests.
- A good attitude and work ethic is more important than experience.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Comfortability working in a high-volume environment.
Physical Requirements
- Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
- Ability to lift up to 20 lbs. may be required.
