Base pay range

$76,000.00/yr - $108,000.00/yr

Our client, an International Law Firm is seeking a Client Service Specialist (Legal Secretary) to join their Washington, DC team. This individual will primarily support attorneys in the Litigation Department, handling complex administrative and legal support functions including document preparation, calendar and meeting coordination, time entry, and liaising with clients and internal stakeholders.

The ideal candidate is bilingual (English/Spanish), highly organized, detail-oriented, and thrives in a fast-paced, collaborative legal environment. A proactive, professional attitude and strong communication skills are key.

Key Responsibilities:

  • Maintain a regular in‑office presence to encourage collaboration and ensure efficient support.
  • Manage legal and administrative duties such as preparing documents, recording time and expenses, and initiating new matters.
  • Draft and finalize complex legal documents and correspondence in English and Spanish, handle court or agency filings.
  • Work closely with departments like DPS, Finance, and the Client Service Center, including international teams, to complete assigned responsibilities.
  • Participate in the billing cycle by reviewing and editing invoices, applying task codes, processing rate adjustments, and conducting expense audits.
  • Oversee attorney workflows with a strong client‑service approach, anticipating and addressing administrative and legal needs.
  • Assist with creating client‑facing materials, scheduling meetings, and contributing to miscellaneous projects as needed.
  • Be available to work overtime as required.
  • Exhibit flexibility, initiative, and problem‑solving abilities in managing responsibilities and enhancing client service delivery.

Required Qualifications:

  • Fluent in English and Spanish, both written and spoken – Required
  • 6+ years of experience in a legal secretarial or relevant legal support role – Required
  • Litigation experience – Required

Required Skills and Proficiencies:

  • Strong ability to organize, prioritize, and manage tasks independently and within team environments.
  • High‑level proficiency in grammar, spelling, and written communication.
  • Skilled in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
  • Familiar with legal billing practices, timekeeping systems, expense tracking, and document management platforms.
  • Solid understanding of court rules, filing procedures, and processes across jurisdictions.
  • Effective communicator with the ability to collaborate across departments and handle competing priorities.
