We are seeking a full-time Onboarding Specialist to join our in-person team in Scottsdale, Arizona. This non-legal role is essential to our firm’s client engagement process, serving as the first point of contact for prospective clients and ensuring a smooth transition from inquiry to representation. The Onboarding Specialist will report directly to the Intake Manager, who oversees the firm’s intake operations and reports to the Firm Administrator. The ideal candidate will be professional, detail-oriented, and skilled at communicating with clients regarding sensitive and complex matters. Experience in a call center or client services environment—particularly within the healthcare or legal industries is highly desirable. Key Responsibilities

Serve as the initial point of contact for prospective clients and provide information about the firm’s services. Conduct intake calls and assess prospective clients’ needs to determine next steps. Coordinate scheduling, documentation, and attorney briefings for upcoming consultations. Prepare and send engagement letters, Business Associate Agreements (BAAs), and trust requests for client onboarding. Maintain accurate records and documentation in Clio Grow and Clio Manage. Provide administrative support as needed, including limited front desk coverage. Collaborate closely with the Intake Manager and attorneys to ensure timely and professional client engagement. Qualifications

Call center or client intake experience strongly preferred. Excellent verbal and written communication skills. Demonstrated ability to maintain professionalism and discretion in all client interactions. Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Experience or familiarity with healthcare law or the healthcare industry preferred. Proficiency in Microsoft Office Suite; experience with Clio Grow and Clio Manage preferred. Competitive hourly rate: $20–$23/hour, depending on experience and credentials. Discretionary performance-based bonus opportunities. Full-time, 40 hours per week, on-site in Scottsdale, AZ. Occasional work outside regular business hours may be required to respond to prospective client inquiries.
