JOB TITLE:
RECEPTIONIST
Non-Exempt Position
REPORTS TO: Vice President of Human Resources
DEPARTMENT: Administration
BASIC FUNCTION:
Ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
GENERAL JOB RESPONSIBILITIES:
Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate person and office. Answer, screen and forward incoming phone calls. Ensure reception area is tidy and presentable, with all necessary stationery and material. Provide basic and accurate information in-person and via phone/email. Backup to receive, sort and distribute daily mail/deliveries. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges). Maintain monitors with company information. Send birthday cards and order flowers, etc as needed. Perform other clerical receptionist duties such as filing, photocopying, and faxing. Assist other departments with clerical duties. Backup for maintaining postage machine and postage meter.
JOB QUALIFICATIONS:
High school diploma or acceptable equivalent Basic computer knowledge, copy machine, and fax machine operation Proficient in Microsoft Suite Customer Service attitude Strong phone skills PHYSICAL REQUIREMENTS:
Must be able to lift 20-25 lb. literature boxes and mail containers. Must be able to sit 7+ hours a day.
OTHER REQUIREMENTS:
Ability to speak, read, write and understand English. Professional attitude and appearance. Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks. Conduct all interaction with customers, representatives, co-workers and supervisors in a focused, positive, courteous and respectful manner. Regular attendance is an essential element of the job. Unplanned absences have the potential to impair the operation of the department and diminish the effectiveness of the company.
