The Administrative representative is responsible for administrative tasks, data entry, logistical arrangements and monitoring, to support unit operations functions.
KEY RESPONSIBILITIES
  • Indirect material inventories through administering, requisitioning, and interfacing with Contract Managers and Suppliers
  • Upon request, schedule the delivery of supply chemicals to ensure uninterrupted operations and escalate if there are delays
  • Ensure that all customer shipments are on time and within specifications
  • Issue Certificate of Analysis in units that ship products
  • Enter requisitions, reservations and field change orders (FCO's) and invoices for various equipment, services and indirect material
  • Prepare monthly production/raw material balances to supply to accounting, with appropriate information for monthly accounting closure and preparation of unit cost report
  • Generate monthly Utilities and Environmental Close reports
  • Edit, Revise, and Track Progress for Unit Standard Operation Procedures
  • Issue MOC's when necessary for procedural updates
  • Perform the following administrative duties (by example):
    - Collect receipts to create and submit expense reports per Ascend policy
  • Maintain Operations information files (OIF's) per the record retention policy and regulatory requirements
- Order Office Supplies
- Maintain Office Equipment
- Miscellaneous administrative tasks to support unit operations; including but not limited to maintaining
computer based training (CBT's), recognition Support, maintaining SharePoint, filing, managing IT
requests, booking travel as needed
- Provide unit personnel with picklists, certificates of authenticity (COA's), safety data sheets (SDS's), and any other relevant shipping paperwork
  • Coordinate catering for events, as requested
  • Support unit shutdowns, turnarounds, and outages as needed, e.g ordering meals, managing purchase orders from vendors etc.
  • Provide customers with bills of landing (BOL's), COA's and any other relevant shipping paperwork
  • Perform daily Goods Issued for any outgoing shipments and Goods Received for any incoming shipments
  • Maintain ISO, Railcar, Fleet, IBC, etc. tracking systems
  • Other duties as assigned

  • Team Members: Unit Members
REQUIRED EXPERIENCE
  • Education - High school diploma or GED; Associates degree preferred
  • Required Years of Experience: A minimum of 2 years of applicable experience
REQUIRED SKILLS
Technical Skills:
  • Working experience supporting chemical plant operations; process understanding
  • Ability to become familiar with ESSH guidelines and regulatory/compliance as these pertain to the job
Computer Skills:
  • Proficient with Microsoft Office Suite (MSWord, MS Excel, Outlook).
  • SAP experience highly preferred
Communication/Facilitation Skills:
  • Excellent written and verbal communication skills
  • Ability to interface effectively with internal personal and external vendors / customers
Initiative/Self-Direction
  • Self-motivated - ability to learn role and take on new tasks are needed
  • Good time management practices and skills
