Role Overview Reporting directly to the Global Head of Administrative Services, the Executive Assistant provides high‑level administrative support to senior executives. Duties include administrative tasks, travel coordination, meeting preparation, and report creation. The role demands diplomacy, confidentiality, discretion, sound judgment, strong written and verbal communication, and strong organizational skills. The Executive Assistant must maintain a realistic balance among multiple priorities and work independently on projects from conception to completion under pressure.
Key Responsibilities
Calendar Management : Manage and coordinate complex schedules, meetings, travel, and conferences.
Communication : Serve as the primary point of contact between executives and internal/external stakeholders; handle confidential information with discretion.
Travel Coordination : Organize detailed travel plans, itineraries, and agendas; coordinate flights, accommodations, and ground transportation.
Meeting and Event Planning : Plan and coordinate executive meetings, including agenda preparation, logistics, and follow‑up; organize corporate events and retreats.
Administrative Support : Prepare and edit correspondence, reports, presentations, and other documents; maintain records and expense reports; assist in ad‑hoc projects.
Document Management : Maintain and organize important documents, coordinate executive schedules, and support cross‑functional initiatives.
Qualifications and Experience
5‑10 years of experience as an Executive Assistant to C‑Level Executives within the technology industry.
Project management experience; PMI preferred.
Strong organizational, attention to detail, professionalism, and discretion.
Excellent interpersonal skills; ability to build relationships with stakeholders, staff, board members, and external partners.
Proven experience in managing complex schedules and coordinating international travel.
Proficiency in Word, Excel, PowerPoint, and Google Workspace.
Exceptional organizational and time‑management skills; strong written and verbal communication abilities.
High level of discretion and confidentiality.
Adaptable to a fast‑paced and changing environment; proactive and resourceful.
Bachelor’s degree preferred or associate degree with equivalent work experience.
Work Environment
Location: San Jose, CA (Remote or in‑office as required; ability to travel occasionally for business needs).
