What is the opportunity? We’re looking for an Executive Assistant to support the Wealth Management – U.S. President and the Head of U.S. Wealth Management Strategy. This role will coordinate and manage executive scheduling and prepare and organize important strategic plans and meeting materials. The role serves as the eyes and ears for the Executive Leadership, connecting organizations, projects, and critical business information to this individual, and serves as a trusted partner to deliver on the priorities of the business. This dynamic role requires exemplary time management skills and the ability to identify and anticipate needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the leadership team.
What will you do?
Heavy calendaring for all principals; maintenance of daily agendas, coordinate meetings, conferences and other appointments on-demand between internal and external clients
Coordinate business travel arrangements and process expense reports accurately and promptly for principals
Provide administrative support such as scheduling, communications, agendas and minutes for select governance committee meetings
Communicate with senior-level executives and clients with discretion and confidentiality
Executive deliverables on time and prioritize tasks at hand
Liaise with technology team as needed
Perform other related projects as assigned
What do you need to succeed? Must-have
Expert organizational knowledge and deep understanding of the operational environment
3+ years of experience as an Administrative Assistant supporting at least one senior-level executive
Advanced in Microsoft Suite (PowerPoint, Excel, Outlook, Word)
Strong interpersonal skills; ability to work effectively with others in a pleasant, professional manner
Excellent organizational skills with the ability to coordinate multiple projects at the same time
Self-starter who works independently with minimal supervision; can effectively work under pressure and meet sudden deadlines
Able to handle confidential matters with discretion and good judgment
Nice-to-have Experience working in the financial services industry a plus

The expected salary range for this particular position is $45,000–$75,000, depending on your experience, skills, and registration status, market conditions and business needs.
