The Talent Acquisition Coordinator is an integral member of the Talent Acquisition team and plays a key role in delivering an exceptional experience for all parties involved in the recruiting process. This role partners with recruiters and hiring managers to ensure seamless coordination and execution of interviews, background checks and pre-hire activities. This includes coordination to support all roles from entry level to executive in multiple locations. This position requires strong organizational skills, professionalism, confidentiality, and the ability to perform in a fast‑paced, high‑volume environment.
Job Duties and Responsibilities
Partner with recruiters and hiring managers to schedule and coordinate on‑site and virtual interviews across multiple locations and time zones
Manage candidate and internal communications via phone and email with precision, professionalism and a strong sense of urgency
Work directly with DFA travel department to schedule candidate related travel
Manage and process candidate related expense reports
Enter and maintain candidate data in applicant tracking system (ATS), ensuring all information is accurate and up to date
Serve as a point of contact on Talent Acquisition processes or systems; answer questions or resolve issues
Facilitate the pre‑hire screening process and ensure transactions between recruiter, hiring manager and new hire are complete and smooth
Ensures the completion of background checks and drug screens of new hires prior to start date; sends proactive communication/updates to recruiters and candidates during pre‑hire process
Act as an escalation point for internal resources with pre‑hire screening delays; coordinate with the vendor to expedite and trouble‑shoot
Manages adverse action process for candidates
Coordinates New Employee Orientation for new hires at DFA Headquarters office
Manages the Talent Acquisition careers email inbox daily and responds to messages in a timely fashion
Work as a part of the Talent Acquisition team to seek process improvements, share best practices and support key initiatives
Coordinates department meetings and training activities in conjunction with TA team members
Processes and codes invoicing as needed
Handles Parlor Hub ticketing system for Talent Acquisition
Supports administration of internship and career fair programs
Completes duties and special projects as directed

Qualifications Education and Experience
Bachelor’s degree in related field, preferred
1+ years of HR experience, gained in a dynamic organization
Knowledge, Skills, and Abilities
Ability to discreetly handle sensitive/confidential employee information
Ability to manage multiple tasks and priorities
Ability to demonstrate a high degree of accuracy and thoroughness in executed tasks
Ability to communicate with individuals at all levels of the organization
Knowledge of HR systems such as HRIS and applicant tracking systems
Knowledge of applicable Federal and State employment laws.
Proficient in Microsoft Office applications.
Must have excellent verbal and written communication skills.
Strong customer service focus.
High tolerance for ambiguity
Must be able to read, write and speak English
