Description: ADMINISTRATIVE ASSISTANT SR you're at the heart of your team's business operations and activities and the soul that keeps your team moving forward. You anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with the latest Moto products and services. You also use that knowledge to strategically support your team's projects. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions.
Responsibilities Perform an array of administrative tasks (Manage calendars, book travel, and schedule facilities and equipment). Build efficiency and effective responsiveness into existing operations, and help define new operational strategies. Minimum qualifications BA/BS degree or equivalent practical experience. 5 years of direct executive support experience.Preferred qualifications Ability to quickly learn new tools and technologies. Interest and experience in using technology and the Internet to improve work efficiency. Expectation of complete confidentiality on all business matters. Ability to effectively communicate and collaborate with a diverse range of people and job functions.
Responsibilities Manage complex, ever-changing calendars and scheduling Coordinate heavy domestic and international travel (both business and personal) Expense report preparation and follow up Partner with executive team to coordinate logistics and presentations for Town Halls, Executive Off-Sites as well as other company-wide meetings Act as a poised professional liaison, problem solver, facilitator and gate keeper leveraging your skills, experience and intelligence to maximize Executives time and attention Screen incoming calls and correspondence and respond independently when possible This role at times requires off-hours responsiveness (for example when the SVP is in a different time zone) Proactive and someone who takes initiative Arrange meetings involving numerous participants in various departments and locations. Thorough knowledge of meeting planning to include conference facilities, video-conferencing, equipment, and food/beverage required. Arrange and coordinate highly complex travel reservations and itineraries; may include international travel, multiple travelers, unique arrangements, etc.Requirements Bachelor's degree or equivalent education 5+ years experience supporting senior-level executives Advanced proficiency with Google Applications (Gmail, calendar, drive, sheets, docs, slides, etc) MS Office skills (Word, Outlook, Excel & PowerPoint) and very tech savvy (Office, Mobile and other technology-video conferencing, telephony) Excellent administrative, time management and organization skills Significant experience interacting with all levels of executives (internal and external) Excellent interpersonal skills; exceptional verbal and written communication skills Willingness to do what it takes to contribute to the SVPs success and the success of the company. A high level of discretion and confidentiality for both business and personal affairs Good judgment, strong common sense and excellent attention to detailPersonal attributes Ability to manage multiple tasks and assist multiple team members at the same time Demonstrated initiative, flexibility, teamwork, maturity under pressure, anticipating and resolving problems before they escalate Polished professional appearance and demeanor, well developed business acumen A positive, upbeat personality, high energy, and able to juggle high velocity pace Ability to work in a fluid and ambiguous environment
