Project Control Specialist

responsibilities include supporting project setup, tracking, and closeout; monitoring budgets, forecasts, performance, risk indicators; maintaining reporting and compliance documentation; and providing insights for informed decision-making and transparency. The ideal candidate is highly organized, communicates effectively, and is familiar with engineering, construction, and/or consulting processes. Project Initiation & Planning

Supervise due diligence efforts and support proposal creation. Coordinate and facilitate project kick-off meetings. Ensure complete and accurate project setup in systems of record. Project Execution & Coordination

Oversee daily coordination of project tasks, schedules, and resource allocation. Act as the primary liaison between project teams, subconsultants and clients. Manage permit submittals, agency coordination, and WCR renewals. Track and monitor project documentation, inboxes, and expiration dates. Data accuracy in project management tools (Teams, Monday.com). Coordinate updates and reporting in ERP and financial systems. Ensure alignment of operational and financial data for reporting and forecasting. Reporting & Analysis

Track project budgets, actuals, and burn rates. Generate reports at project and practice levels. Provide insights into project performance, trends, and variances. Client & Team Interaction

Attend and document team and client meetings. Record decisions, track deliverables, and follow up on tasks. Support communication across internal and external stakeholders. Subconsultant & Financial Support

Assist with subconsultant setup, invoice tracking, and COI management. Support A/R collections and WIP review processes. Participate in project audits and compliance reviews. Collaborate with Project Accountant/Senior Project Accountants and Project Managers on financial aspects, excluding final billing. General Oversight

Ensure projects meet operational and financial standards. Serve as a centralized point of coordination for project-related matters. Support strategic decision-making through operational and financial insight. Qualifications

Education Bachelor’s degree in a technical, construction, or business-related field preferred. Relevant certifications and/or pertinent work experience will be considered in lieu of a degree. Experience 5+ years of experience in project coordination, operations support, or construction management, preferably in civil engineering, construction, or infrastructure industry. Proven experience on multiple small to large-scale projects (transportation, utilities, site development, or other infrastructure). Strong knowledge of project management processes, including scheduling, budgeting, procurement, and documentation control. Experience with project management software (e.g., Procore, MS Project, Buildertrend) and document management tools. Technical Skills Proficient in MS Office Suite (Excel, Word, PowerPoint) and other productivity tools. Familiarity with civil engineering design software (AutoCAD, Civil 3D) or construction-related software is a plus. Experience with cost tracking and project financials, including budget management and invoicing processes. Familiarity with construction documents, including drawings, contracts, RFIs, submittals, and change orders. Communication and Organizational Skills Excellent organizational and time-management skills; ability to manage multiple priorities and meet deadlines. Strong verbal and written communication; ability to interact with internal teams, clients, contractors, and stakeholders. Ability to prepare clear reports, meeting minutes, and other documentation. Ability to build and maintain positive working relationships with clients, contractors, and team members. Problem-Solving and Analytical Skills Strong problem-solving abilities to identify issues and implement proactive solutions. Ability to analyze project data, track progress, and highlight discrepancies for PMs to address. Ability to anticipate and address potential project issues before they escalate.
