We have an opportunity for a

team-oriented and experienced Front Desk Office Assistant

to join the Central Document Services unit within the Administrative Services Division.

Central Document Services (CDS) is essential to DOL agency operations. They contribute to the purpose of the organization by processing documents efficiently and accurately, while ensuring confidential documents comply with our agency policies and state laws. This team supports the agency through answering phones and directing visitors in office and as well as the mail processing, imaging, validation, and distribution of vital documents required for program areas within the agency. As the face of the agency, this team is critical for ensuring a sense of belonging is created for all our visitors. As part of this team, you will work together to support internal DOL program areas and staff as well as educate and direct external customers that present onsite.

As a Receptionist with DOL, you will work closely with a diverse and supportive team assisting visitors and the public to help them find their needed locations within our building. Using your customer service skills, you will calmly and effectively answer questions from people who may be frustrated or concerned with our processes. Situational awareness and responding to unexpected situations will help you excel in this role. As part of CDS, you will contribute to the agency’s purpose of “helping every Washington resident live, work, drive, and thrive” by processing vital customer documentation accurately and efficiently.

Some of what you will do

Direct visitors, customers, and staff to the appropriate resources.

Issue new and temporary badges to staff, visitors, and vendors.

Visually identify and report any potential threats or dangers at the main office entrance.

Complete scanning and imaging work to support the larger team.

Serve as a safety committee member on the safety committee and safety coordinator during an emergency response.

What you will bring to the role (Required)

Six (6) months of experience in the following:

Performing clerical work in an office setting.

Providing customer service to the general public.

Using computer equipment and Microsoft Office applications.

Reading, comprehending, interpreting, and retaining information from spoken and written material.

The ability to understand and follow agency values of respect, trust, diversity, equity and inclusion through behaviors and decisions.

*Experience can be obtained concurrently*

What may help you stand out (Preferred)

Experience in the following:

In a safety or emergency role within a public or private organization, CPR certification, CERT Certification and/or First Aid training.

Working a reception desk or customer facing office experience.

Using DOL applications such as DRIVES and MARS.

Additional conditions of employment

Must have the ability to lift 20 lbs. independently and move 70 lbs. with assistance.

This role will be in our Olympia office full-time and will not offer any hybrid work options.
